About the Role:

Our client is seeking a highly organized and proactive Executive Assistant to support the Owner of a successful corporate training practice. This role encompasses traditional executive assistant duties alongside coordinating client bookings and travel logistics to ensure smooth operations and exceptional client experiences.

The Executive Assistant will report directly to the Owner and play a critical role in advancing strategic priorities by skillfully managing administrative and operational responsibilities.

This position supports a mission-driven, for-profit training organization that leverages its revenues to fund impactful nonprofit initiatives. The company operates with a small, collaborative team, including the Owner, an accountant, and project-based contractors.

Executive Support:
  • Manage the Owner's inbox, ensuring timely and effective communication with clients, prospects, and internal stakeholders.
  • Maintain the Owner's calendar, scheduling meetings, trainings, and other engagements with precision.
  • Book travel and lodging for the Owner, ensuring all arrangements align with their preferences and commitments.
  • Provide daily reminders of tasks, deadlines, and priorities to keep the Owner on track.
  • Occasionally attend trainings or meetings in person to gain firsthand understanding of the Owner's work and organizational needs..

Client Relations and Booking Coordination:
  • Apply strong project management skills to streamline workflows and support the Owner's objectives.
  • Coordinate travel logistics, including booking flights, hotels, and scheduling programming into the calendar.
  • Qualify and manage incoming client inquiries and training requests.
  • Conduct initial client calls to explain training structures, benefits, and pricing.
  • Collaborate with the Owner to confirm availability, negotiate rates, and finalize details.
  • Fill in specifics, send contracts for digital signing, and ensure they are submitted for invoicing.
  • Send post-training surveys, analyze responses, and discuss trends and potential improvements with the Owner.
  • Maintain comprehensive client and prospect pipelines, ensuring accurate tracking and follow-up.

Administrative:
  • Serve as the primary liaison between the Owner and clients, prospects, and team members.
  • Handle confidential information with discretion and professionalism.
  • Ensure all deliverables and communications are accurate, timely, and align with the Owner's standards.

Qualifications:
  • Minimum of 5 years experience in an executive support or operations role.
  • Exceptional organizational and time management skills, with the ability to handle multiple priorities.
  • Experience working with nonprofits a plus.
  • Stellar verbal and written communication skills.
  • Proven ability to build meaningful relationships with diverse stakeholders.
  • Proficiency in productivity tools (e.g., Google Suite, CRM platforms).
  • A proactive, solutions-oriented mindset with a commitment to the organization's mission and values..
  • Willingness to travel occasionally for on-site meetings or events.
