Responsibilities • Provide administrative support for tax professionals in Boca Raton • Speak directly with clients and respond to inquiries • Scan and organize documents in SharePoint and GoFileRoom • Maintain TaxDome software to communicate with clients and obtain tax documents • Process tax returns using e-filing process which will be taught • Act proactively on behalf of leadership staff to address and resolve issues • Handle client tax return billing • Cultivate relationships and maintain contact with company clients • Function as a backup for other Administrative Assistants within the group and support other team activities as directed • Handle incoming calls proficiently and follow through regarding issues raised with appropriate parties • Develop a good working relationship with all levels of staff • Compose business correspondence including letters and emails • Arrange and reserve conference rooms, technology and other logistics for meetings • Handle sensitive/confidential information requiring a high level of discretion • Sit at reception desk and respond to visitors
Desired Qualifications • Relevant experience supporting executives in a professional services environment • Excellent communication skills both verbal and written including excellent grammar and proofreading abilities • Excellent technology skills including MS Word, Excel, PowerPoint and Outlook and interest in learning additional software packages as needed
Experience with tax return processing a plus • Ability to communicate with clients fluently in English, verbally and in writing, Spanish a plus • Ability to develop own processes and follow through with them • Ability to exercise good judgment and decision making • Ability to anticipate problems and act accordingly • Time management skills - ability to prioritize and multi-task • Ability to take initiative, be assertive and maintain confidence • Ability to work overtime as needed • Professional demeanor • Organizational skills and detail oriented nature
