Job Description:

Job Summary

The overall purpose of this position is to manage key programs and activities that directly and indirectly impact member engagement and membership growth and support general volunteer and society operations. This position is expected to increase operational efficiencies for assigned programs and activities using technology to create workflows and automation when appropriate.

This position reports to the Director of Membership and Marketing and functions as an individual contributor.

Key Responsibilities


  • Chapter Funding – Coordinate distribution of requests and approvals by regional directors Director Member Services, and VP-MGA, work with director of finance and IEEE Finance and Treasury on distribution of funds

  • Student and Professional Chapter Support Outreach – Support Sr. Manager, Membership and Programs on proactive outreach to chapters to support retention and recruitment efforts, and customer service related inquiries

  • Chapter Vacancies Outreach – Lead efforts to help with student and professional chapters officer vacancies, coordinating with regional directors, Student Branches, and advisors

  • Chapter Resources and Membership Collateral Updates – Coordinate update of all necessary collateral with Sr. Manager, Membership and Programs and graphic designer ensuring all materials are timely

  • DL/DSP Program – Manage the Society's Distinguished Lecturers and Distinguished Speaker Program execution for approximately 90+ DLs, including communications and publicity for solicitations, arranging tours in all regions, communications; organize requests, send approvals, and track funding Membership Customer Support – Provide support for customer inquiries, assisting with answering or routing of all inquiries Career/Service/Paper Awards – Contact all winners, create plaques, coordinate with planning awards lunch

  • Honorariums – Enter winners into IEEE system for chapter awards, student competition and SC honorariums

  • Student Competition – Confirm membership, order and ship participant gifts, create & send certificates/plaques, and coordinate attendance of winners at ComSoc’s flagship conference, GLOBECOM

  • Plaques & Certificates – Manage all requests from MGA, Pubs & TCs, keeping track of process and tracking numbers

  • Member Validation And Support - Serve as first point of contact for incoming requests and member validation

  • General Office Management - Order supplies, staff/BoG name badges, business cards, ComSoc swag orders

Education


  • Bachelor's degree or equivalent experience Bachelor's degree or equivalent experience Liberal Arts or Business preferred Req

Work Experience


  • 4-7 years Experience supporting complex organizations Pref

Skills and Requirements


  • Demonstrated self-motivation, initiative, and creative problem solving with a high degree of empowerment.

  • Working knowledge of computers, word processing, spreadsheets, e-mails, etc.

  • Demonstrated ability to resolve problems and implement solutions with minimal supervision, including confidential matters, in a busy work environment;

  • Superior organizational and time management skills;

  • Strong process management skills to including tangible improvements to the status quo via automation and technology;

  • Superior interpersonal skill;

  • Excellent oral and written communication skills, including the ability to make presentation to small < 25, and medium sized groups < 100

  • A confident outgoing, customer-oriented demeanor

  • Demonstrated competency with Microsoft office tools, including Word, Excel and PowerPoint, Smartsheet, Google suite, and familiar with automation of processes and procedures via other tools

  • Willingness and ability to sustain a high level of activity

  • Demonstrated performance in a constantly changing environment

  • Effectively interact professionally with volunteers and staff at all levels
