Legal Admin Assistant




Job Overview:



Adams & Martin Group has partnered with a leading law firm to find an experienced Legal Admin Assistant to support the office in areas of human resources, payroll, and general office administration. This full-time position offers a competitive salary ranging from $50,000 to $55,000, depending on experience.
Key Responsibilities:




Human Resources & Employee Records:



  • Maintain and update employee personnel files in compliance with company policies and legal requirements.

  • Assist in setting up new employees with insurance benefits (medical, dental, life, STD/LTD), and update insurance information as necessary (salary changes, address updates, etc.).

  • Track employee eligibility for 401(k)/Roth enrollment at their 6-month anniversary.

  • Update and maintain the company's employee birthday and anniversary list.

  • Communicate with insurance representatives for renewals and employee inquiries.

  • Assist in managing employee eligibility and FSA spending plans for employees enrolled.




Payroll Administration:



  • Verify employee timesheets for accuracy and approval.

  • Enter hours worked, salary information, and employee contributions (401k/Roth) into the payroll system.

  • Record payroll information in Soluno and ensure it is correctly processed.

  • Ensure PTO, sick leave, and vacation time used is properly entered and tracked on spreadsheets.

  • Prepare and submit 1099 reports to the accountant for processing.

  • Work closely with the 401k representative to ensure annual Safe Harbor and Profit Sharing reports are completed accurately.

  • Distribute W2 forms to employees and ensure proper distribution for tax reporting.

  • Process and facilitate the EDB transfer in the bank, entering relevant information into Soluno.




Accounts Payable & Administration:



  • Assist with accounts payable processing and other financial administrative duties.

  • Maintain accurate records and receipts for expense reimbursements and bill payments.

  • Help ensure timely payments for company expenses and vendor accounts.




Office Administration & General Support:



  • Set up new employees with office equipment (computer, phone, printer, etc.).

  • Maintain and update the company employee directory for emergency and office closure use.

  • Serve as the primary point of contact for parking management and assist staff with parking arrangements.

  • Provide general administrative support to the office, assisting with various office tasks and errands as needed.

  • Assist with building security-related matters and office closure communication when needed.

Qualifications:



  • 3 to 5 years of experience in office administration and human resources.

  • Strong knowledge of payroll processes and tax reporting (1099, W2).

  • Experience with HR systems and employee benefits administration, including 401(k) and insurance plans.

  • Excellent organizational skills and attention to detail.

  • Ability to handle confidential information with discretion and professionalism.

  • Strong communication skills, both written and verbal.

  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

  • Prior experience in a legal or professional services environment is a plus.


Required Work Hours:



Monday to Friday, 8:00 AM to 5:00 PM
