Job Description:

The School of Art in the College of Art and Design at Louisiana State University is seeking applications for a program coordinator to join our administrative team. The School of Art serves 500+ students and offers Bachelor of Fine Arts, BA in Art and Design, BA in Art History, MA in Art History, and Master of Fine Arts programs. We are seeking a candidate with a collaborative mindset who can support the unique requirements of a dynamic arts program. The Program Coordinator provides comprehensive assistance to the Director, Associate Director, and Operations Manager in implementing tasks and projects required to support administrative functions, recruitment and event coordination, and academic scheduling for the School of Art. Primary responsibilities include administrative support activities such as tracking strategic plan implementation, preparing reports and documentation, planning and support for visiting artists, and managing School of Art promotional needs with the communications team.

The role requires event coordination (supporting logistics related to visitors, managing student events and facilities rentals); recruitment, outreach and retention activities (implementation of promotional events, materials and visitor tours); and academic support (tracking student organizations, course scheduling and instructor assignments). Key responsibilities also include managing faculty meeting schedules, preparing agendas and minute-taking, and facilitating communication with faculty, students, and staff. Proficiency in various software tools, including Microsoft Excel, Adobe Acrobat, and LSU Workday, is required, in addition to strong written and oral communication skills, project management, and organizational skills.

Job Responsibilities:

Administrative Support: Manages and plans School of Art promotional needs - communicates needs for printed and digital materials to the Graphic Design Student Office director, social media team and College communications staff. Assist with administrative duties such as scholarships and awards, undergraduate selective admissions, assessment, faculty committees, instructor credentialing, etc. Tracks implementation of strategic plans and develops reports as required. Manage faculty meeting schedule and preparation. Communications to faculty and students about important deadlines and requirements. Operates proficiently in Microsoft Office, Adobe Acrobat, Adobe Sign, LSU Workday, 25Live, Slideroom and Box. (40%).

Events/Activities Coordination: Support logistics related to visiting artists and scholars, work with faculty, Operations Manager and Galleries staff to organize event needs, meeting spaces, meals, receptions, transportation, etc. Manage rental reservations of School of Art spaces, including rental confirmations and communication of rental policies. Work with Operations Manager to submit invoices and billing. Attend and assist with School of Art events such as Student Art Exhibitions, Student Public Presentations, Grad Walk Open House, Wearable Textures Show, and Student Organization events. Coordinate with faculty to plan event set up and clean up. Placement of catering and supply orders. (20%)

Recruitment and Outreach: Supports execution of recruiting strategies and activities. Attends recruitment events and assists with procurement of promotional items. Organize recruitment materials and direct student workers in preparing give-away bags, handouts and table displays. Order recruitment products as needed. Assist with recruiting, including giving tours and answering inquiries regarding program to prospective students and families. Assist faculty with preparation of recruitment materials for conferences and travel. (20%)

Academic Support: Student organization coordinator - Track student organization officers and advisors, make sure orgs have registered/renewed official status and are following policies and procedures. Keep master calendar of events. Set up Slideroom portals for scholarships, graduate and selective admissions applications. Work with Associate Director to develop course scheduling assignments for faculty, grads and adjuncts. Communicate special requests to registrar such as course changes and special topics names. (15%)

Minimum qualifications: Bachelor's degree in a related field or one year of related experience. Basic proficiency in commonly used Microsoft Office Products (Word, PowerPoint, Excel). Preferred qualifications:

  • Experience and skill supporting student-facing programs for a higher education institution.
  • Experience working in an arts administration environment.
  • Experience and skill in marketing communications, event planning, social media platforms, and website management tools.
  • Proficiency with Adobe Creative Suite Software.
