Position Summary: 

Perform World Cup duties as it relates to the five Events and Activities:  Canoe Journey, World Cup Pow-Wow, Legacy Efforts, Community Involvement & Environmental Sustainability.  This may include participating in planning committees, production of items, leading groups, providing instruction, and working with youth.

Under the supervision of the Director will ensure that projects are completed on time and within budget. The Program Project Coordinator will complete projects from initiation to completion while maintaining strong communication with key stakeholders. The Program Project Coordinator will manage tasks with attention to detail to provide satisfactory outcomes in regards to each projects goals and objectives to meet the needs of the Program. This role requires effective leadership, communication, and organization to ensure successful project completion. The primary focus of this position is on World Cup projects and duties during the duration of the project.

Essential Duties and Responsibilities
  1. Work in a respectful and culturally sensitive in collaboration with the Tribal Departments and community for FIFA/World Cup events.
  2. Develop comprehensive project plans, timelines, and budgets in collaboration with stakeholders to ensure alignment with program goals and objectives.
  3. Allocate resources effectively, including personnel, equipment, and materials, to maximize efficiency and minimize delays.
  4. Identify potential risks and develop strategies to address them, ensuring smooth project execution.
  5. Maintain regular communication and meeting schedules with stakeholders, providing updates on project progress, milestones, and any issues that may arise.
  6. Lead project teams effectively, providing direction, motivation, and support to ensure team cohesion and productivity.
  7. Works with the Heritage Division, other Tribal Departments, Community Partners and staff to maintain overall cohesiveness on projects and events.
  8. Implement quality control measures to ensure that project deliverables meet established standards and requirements.
  9. Monitor project expenditures closely, tracking costs against the budget and making adjustments as needed to ensure financial objectives are met.
  10. Maintain accurate project documentation, including schedules, budgets, meeting minutes, and other relevant records. Generate regular progress reports for stakeholders.
  11. Address conflicts and challenges that arise during project execution, facilitating resolution and maintaining positive relationships among team members and stakeholders.
  12. Conduct post-project evaluations to assess outcomes, identify lessons learned, and make recommendations for future improvements.
  13. Communicates verbally and in writing to answer inquiries and provide information to all FIFA/World Cup stakeholders.
  14. Generates purchase orders and adheres to program and accounting procedures for purchases; generates supply orders and maintains inventory of program items.
  15. Assists in the planning and preparation of events including facilitation and organizing on-site while events are occurring. 
  16. Maintains individual and departmental calendars and appointments; coordinates and arranges meetings as required.
  17. Maintains appropriate documentation containing pertinent, accurate, and current information.
  18. Prepares and proofreads documents for a variety of audiences and platforms (social media, newspaper, etc.) using good judgment, excellent grammar and punctuation with limited guidance.  
  19. Prioritizes work according to departmental needs; determines workflow problems and develops solutions.
  20. Initiates Agenda Request Forms for Tribal Council Direction, gets team review, and authorizations. 
  21. Prepares correspondence, memos, news articles, faxes, etc. Assists the Director in providing technical assistance to staff and departments on planning projects where appropriate to complete tasks and meet deadlines. 
  22. May be responsible for ordering and maintaining supplies necessary to implement the World Cup goals.
  23. Contributes to a favorable public image of the Tribe by establishing and maintaining relationships and participation in the community (civic, industry, and professional).
  24. Consistently demonstrates Tribal values; encourages and coaches others to consistently demonstrate Tribal values.
  25. Assists in the development of strategies to achieve organizational goals; assists in analyzing market and competition; and helps identify opportunities for development.
  26. Helps conduct and prepare research information regarding the Puyallup Tribe’s economic development potential to include, but is not limited to, trends in utility rates, environmental regulations, labor supply, transportation, tax rates, cultural environment and available market.
  27. Performs other duties as assigned.

Supervisory Responsibilities

This position will have the responsibility to coordinate with multiple division managers, directors and staff. Put together calendars, activity lists, program planning for all of the activities in collaboration with the Heritage Department and all of the FIFA initiatives.

Qualifications and Requirements

Education and/or Experience 

Bachelor’s degree (B.A.) or equivalent and eighteen months to two years related experience or training; or satisfactory equivalent combination of education (minimum High School Diploma/GED required) and additional experience.  Intermediate experience and knowledge with personal computer skills using word processing and spreadsheets (i.e. Word for Windows, Excel, PPT, Canva, Access, Project, Microsoft To Do, etc.).  Must demonstrate strong organizational and time management skills.  Must be able to manage multiple projects efficiently and effectively.

Language Skills

Ability to write reports and business correspondence.  Ability to effectively present information and respond to questions from groups of managers, Tribal members, and the general public. Ability to read, analyze, and interpret complex documents.  Ability to respond effectively to the most sensitive inquiries or complaints.  Ability to make effective and persuasive presentations to Tribal Council and/or public groups.

Must have positive interpersonal skills to develop trust of Tribal Members and work with other departments and agencies in order to meet departmental goals and objectives.

Ability to effectively present information and respond to questions in one-on-one and small groups, management, employees, clients and customers. 

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to develop graphs from data collected for the purpose of presenting information to the public. 

Reasoning Ability

Ability to solve complex problems and deal with a variety of concrete variables in situations where only limited standardization may exist.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Ability to maintain high level of confidentiality.
  • Knowledge of general accounting procedures preferred.
  • Knowledge of Tribal organization, operations, policies and procedures preferred. 
  • Must have and maintain a valid driver’s license.  Driver’s License must not contain any restrictions that would otherwise prevent an employee from operating a GSA vehicle.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Ability to prioritize work flow with multiple projects with similar deadlines.
  • Ability to communicate project outcomes with varying partnerships within limited time for preparation.
