A document control specialist in construction is responsible for managing, organizing, and tracking all project-related documents, ensuring that the correct information is readily accessible to the team by properly storing, distributing, and updating documents like blueprints, contracts, permits, reports, and change orders, while maintaining accuracy and compliance throughout the project lifecycle
RESPONSIBILITIES:
Assist with submittals and input into the different Electronic Document management Systems (EDMS), with special focus on Aconex
Maintain updated Submittal Log, monitor the submittal schedule and status
Input RFI's (Requests for Information) into the EDMS
Input documentation and transmittals into Aconex and the owner's EDMS or other legacy document control systems
Receive, log, and track plans and specifications as received including all revisions
Upload plans and specifications to contractor personnel as well as subcontractors into EDMS
Maintain all hard copy files of project documentation
Maintain electronic copy files of project documentation
Process and maintain files for change order requests, change orders, contracts, scope changes, and payment applications in an orderly and updated manner into EDMS
Process and maintain transmittals and associated documents
Track and file project photos into EDMS
Maintain project FTP site and existing legacy system information
Coordinate with team members and managers to accurately process documents and files for the project record in a timely manner
REQUIREMENTS:
Bachelor's degree in Business Administration with 3+ years' experience OR Associates degree with 5+ years' experience or High School degree with 5+ years' experience
Strong computer skills: Word, Excel, PowerPoint, Outlook and familiarity with ERP systems
Ability to multi-task and work in high pressure environment
Strong analytical and problem-solving skills including handling submittals
Knowledge of the construction process, proven ability in planning, organizing and implementing work priorities to ensure the orderly flow of construction documentation throughout the construction process
