Overview
The learning and development program coordinator provides senior-level administrative support to various programs and learning initiatives offered through the Office of Human Resources in an effort to support the University’s mission and goals. The program coordinator supports, creates and implements strategies, solutions, and opportunities related to employee, manager and team learning and development, retention and engagement. This position will have a dual reporting relationship to two Learning and Development Program Managers.
Responsibilities
Responsibilities include, but not limited to:
Program, class and retreat administration and support
Manage various administrative and programmatic functions for a variety of high impact HR centralized learning and development classes, certificate programs and customized programs for the University employee population.
Processing enrollment forms and tracking completion
Responding to program inquiries and enrollee questions
Communicating program requirements and key learning initiatives
Ordering supplies, materials, and food
Monitoring inventory for class materials and supplies
Booking event space, equipment, class set up and breakdown
Create and send class communications including class reminders, follow up communications and recommended learning resources.
Has an appreciation, awareness and sensibility for accessibility in the learning environment including the consideration of the diverse learning needs of staff [understanding physical, technological differences among others] and take steps to collaborate with leading campus partners who provide these services, to ensure an inclusive learning environment.
Manage all aspects of Management Development Certificate Program and Excelling at Princeton graduation ceremonies from selecting theme, activities and speakers to identifying appropriate venue, designing the invitation and program and coordinating event logistics.
Coordinate the Princeton Deconstructed Program including the coordination of departmental contacts to ensure dates and locations are secured, content is reviewed and approved as well as updating and enhancing the program to meet University needs.
Manage the HRLD centralized mailbox; responding to program and class inquiries, following up on action steps and forwarding emails to appropriate contacts.
Summarize and document post training/retreat materials, assess themes, highlight key concepts, and work with L&D team to suggest resources and next steps for the learner.
Assist in the curation of classes and resources in systems like LinkedIn Learning and Blue Ocean Brain.
Learning Management System (LMS) and Data Analytics
Manage courses and learners in the LMS, including entering classes, generating class rosters, managing withdrawals and waitlists, updating attendance, sending communications and troubleshooting issues.
Update data and run reports for use by senior leaders, departments, and program participants.
Identify and recommend reporting enhancements based on program, learner and campus needs as well as process and program efficiencies.
Participate in projects related to learning needs, systems and processes.
Presentation and facilitation support
Act as producer in virtual classes assisting facilitators with breakout rooms, monitoring chat, and other technological and logistical needs.
Introduce speakers, make welcoming remarks, share best practices and provide instructions to groups in both virtual and in person classes and program events.
Vendor/Consultant Management
Coordinate travel arrangements for external facilitators, consultants and presenters.
Manage multiple internal and external vendor relationship, perform administrative responsibilities, address vendor needs and provide information requested.
Budget
Process invoices and payments for facilitators, vendors, licenses, classes and programs.

Qualifications
Required Qualifications
Bachelor degree or equivalent work experience
3 to 5 years of related work experience
Previous experience with coordinating competing complex programs and initiatives
Strong proficiency in MS Outlook, Word, Excel, PowerPoint and Zoom or equivalent virtual collaboration tools
Preferred Qualifications
Experience facilitating classes and presenting workshops
Experience with or understanding of learning management systems (LMS) and other virtual learning systems like LinkedIn Learning
Experience with or knowledge of adult learning theory
Ability to develop and maintain websites
