Job Summary
Under general supervision provides clerical support to leadership and associated administrative staff throughout the Department. The Staff Assistant III must display a high degree of initiative, be engaged and able to problem solve, enjoy a working environment that is high-profile and fast-paced, can prioritize work within an environment of competing demands, and provide administrative support to a diverse group of our workforce. Customer Service - Greets internal and external customers in a manner that ensures the customers' needs and expectations are met - Effectively interacts with all levels of management - Provides Call Center coverage, including customer interactions Clerical Support - Performs general clerical duties including photocopying, scanning/faxing, filing, and other general office duties as needed. - Performs general word processing duties to include letters, memos, and other types of correspondence. - Organizes own work according to priorities set by the manager. - Assists with function arrangements such as ordering refreshments, providing for audiovisual equipment, scheduling meeting rooms, etc. - Provides administrative support for projects such as maintaining databases and running routine reports. - Maintains office files and record-keeping procedures - Expected to proactively follow through on tasks assigned and provide periodic updates to the Operations Manager or Director. - Maintains the physical environment of the office. - Orders and maintains office supplies inventory and office equipment. - Processes check requests for business expenses, services, and reimbursements. - Processes and reconciles check deposits and invoices. - Purchases, via ebuy, products and services as requested. - Provides coverage for other support staff during vacations, illness, and breaks. - Performs other duties or special projects that are department or unit-specific, and that are appropriate to this level of position at the manager's request.
Qualifications
Minimum of 2-4 years of general office work experience - Excellent interpersonal skills and customer service skills required for high volume, extremely interactive office environment - Strong judgment and prioritization skills - Intermediate level of MS Word, Excel, PowerPoint and Access - Typing 55-65 WPM - Ability to handle confidential information - Ability to work independently - Ability to work well under pressure - Ability to prioritize work
