SUMMARY
The Manager, Expo Partnerships is a key member of the Event Strategy and Experience team, responsible for planning and executing SHRM’s events, which range in size from 100 to 26,000 attendees. This seasoned event professional specializes in managing all aspects of expo and trade show components, ensuring seamless execution from start to finish.
A close collaborator with the Sales team, the Manager stays ahead of industry best practices and trends, bringing a proven track record in leading teams and managing multiple events with a high volume of exhibiting companies within the same year. Key responsibilities include optimizing expo logistics, leveraging event technology, managing vendor partnerships for large-scale events, creating and managing budgets, designing innovative floor plans, and implementing effective communication strategies to ensure event success and customer satisfaction.
As a consummate collaborator, the Manager is driven to curate elevated, meaningful experiences for exhibitors and attendees alike.
Responsibilities:
Curate the Expo Experience:
Leading the entire expo planning process, from floor plan design to schedule management to post-event evaluation.
Partnering with cross-functional teams (Sales, Marketing, Legal, and Customer Experience) to ensure the successful execution of expos/tradeshows, including but not limited to:
Overseeing the creation of the prospectus and content for marketing website,
Formulating and cascading expo rules and regulations,
Developing exhibitor contract templates.
Co-managing large-scale event services companies, including managing budget (projections and invoicing), directing the creation of the exhibitor service kit, coordinating material handling and safety requirements as well as setting the master load in/out schedule.
Partnering with event team colleagues on thematic ideation and pull-through, F/B placement and process, exhibitor registration process, and implementation of event tech—from the app build out to the exhibitor portal
Develop Communications and Event Tech Strategy:
Managing the communications cadence (and identifying innovative ways) for outreach to contracted exhibitors, internal partners and vendors to ensure deadlines are met, rules and regulations are followed and all deliverables are secured.
Developing a new, comprehensive training program to onboard exhibitors.
Overseeing the event tech infrastructure, making strategic recommendations and playing integral role in building out exhibitor portals, the event app and other components part of our event tech stack.
Directing across teams/workstreams to integrate the operating system, Map Your Show
Gathering feedback from exhibitors/external stakeholders to evaluate the event's success and identify areas for improvement; includes management of exhibitor surveying.
On-Site Event Management:
Supervising expo setup, coordination and operations – inclusive of freight and safety – during the expo to ensure smooth execution addressing any logistical challenges or emergencies that arise on-site.
Running the entire expo space during move in, event show days and move out, providing direction and support to staff, exhibitors, volunteers regarding the expo experience – with a customer-first mindset.
Managing onsite floor managers and/or other contractors.
Partnering with Event Logistics colleagues on end-to-end planning of exhibitor registration and onsite exhibitor experience overall, including registration flow and footprint and the design/build of lounges/offices.
Budgeting & Financial Management:
Supporting management of multiple event budgets simultaneous, ensuring cost-efficiency while maintaining high-quality event standards, real time tracking and reporting, and overseeing projections/invoices from vendor partners.
Collaborating with the Sales Team to prepare post-event reports, including exhibitor satisfaction, financial analysis and experience impact.
Analyzing event performance metrics to help improve future events through a customer-first mindset.

Education & Experience Requirements
??Required:
?Bachelor’s degree in Event Management, Business, Marketing, Communications, Hospitality, Public Relations or related field
?At least 8 years of related experience in a similar work environment and role, with strong focus on expos or tradeshows, preferably with a PR/marketing/event agency or in-house for medium to large brand(s)
2 years or more years of people management, with at least one direct report
?At least 3 years of experience leveraging event management software, including previous experience using Map Your Show
Proven experience in planning and managing multiple large-scale corporate events, city-wide conferences, and expos, including coordinating over 600 exhibiting companies within a single year
?Proven ability to build relationships both internally and externally; demonstrated collaboration skills
Demonstrated strong project management skills and history of success in multi-tasking; budget management
Knowledge Skills & Abilities
?Solid written and verbal communication skills with ability to clearly articulate with internal or external audiences; knack for customer service with the ability to anticipate the needs of exhibitors and attendees, ensuring a positive experience for all involved

The hiring range for this position is $100,000 to $123,000 per year. This range is an estimate, and the actual salary may vary based on the candidate's experience, skills, and qualifications.
