Job Summary: Under general supervision, manages assigned multi-user Workforce related applications ("Worksmart"), processes and reporting tools; participates in installation projects, application maintenance, interface configuration and customer education. The analyst functions as a subject matter and technical support resource in Worksmart systems, workflows and through direct engagement, demonstrates knowledge of customer requirements. Maintains familiarity of project management concepts and methodologies; participates in and provides input into project planning sessions. As directed, leads minor projects with limited scope and impact. Supports system selection projects; participates in selection process; provides input into developing and assessing RFP / RFI's. Participates in 24x7 on-call rotation for assigned applications and processes. Promotes excellent customer service with strong communication skills to ensure the success of all assigned applications. Works with members of IT, HRIS and other teams in clinical and operational departments to accomplish the goals established for the project or the operations of the assigned application or process. Key functions include: System administration, customer support, project management for Worksmart technology Reporting and analysis of real-time and future labor / scheduling impacts Position control process management, financial assessments, decision management and budget alignments Serves as an operational on-call / backup for Worksmart systems (staff scheduling, position control, etc) Maintains, enhance, and streamline standardized reporting to ensure clients have timely, relevant, and accessible information and our processes are efficient and legally compliant Attends meetings and daily communication sessions to keep abreast of project objectives, process workflows and progress of business concepts Functions in and accountable for highly sensitive data; maintains absolute confidentiality
Core Responsibilities and Essential Functions: General Operations and Project Management a. System administration, application configuration, customer support and project management for Worksmart applications (Lawson, Position Control and Smart Square) b. Assist users with technical issues, questions, access requests, department builds and department changes. c. Work directly with leadership to understand the business requirements for Worksmart needs and serve as technical and best practice advisor to optimize labor operations d. Diagnosing and troubleshooting issues that arise in the system to determine solutions or if escalation of events is required. e. Maintaining and frequently validating data integrity within WorkSmart and Position Control applications f. Maintaining integration between WorkSmart systems and master data source of truth systems (e.g. Lawson) g. Developing and delivering customer education sessions; in person or via phone or in large classroom setting h. Reviewing, verifying and analyzing position control requests, assure records comply with established guidelines i. Creating and maintaining Worksmart reports and dashboards using technology tools (Facility Dashboard, Position Control Dashboard, Smart Square, Lawson, iCims, and Kronos, etc) j. Reporting and analysis of real-time and future labor / scheduling impacts k. Serves as an operational on-call / backup for Worksmart systems (staff scheduling, position control, etc) l. Maintains, enhance, and streamline standardized reporting to ensure clients have timely, relevant, and accessible information and our processes are efficient and legally compliant m. Tracking and reporting Key Performance Indicators on a scheduled basis n. Attends meetings and daily communication sessions to keep abreast of project objectives, process workflows and progress of business concepts o. Functions in and accountable for highly sensitive data; maintains absolute confidentiality p. Monitors, identifies and ensures appropriate follow up for information security concerns for assigned applications Customer Support a. Recommends solutions based on past experiences or analysis of problems within team; understanding the ramifications for problems within own team b. Identifies and understands business impact and negotiates with limited oversight, a mutually agreeable expectation to problems c. Trains independently on application or technical topics d. Defines support plans with general oversight; ability to triage and reassign ticket to the appropriate group if necessary; develop and execute testing and QA scripts e. Independently trouble shoots simple issues f. Develops basic customer requirement documents for assigned technology area with general oversight g. Performs site walk throughs independently to identify system issues; address concerns and or answer questions h. Creatively looks for work around to systems limitations i. Maintains working knowledge of Workforce Insights and or healthcare j. General understanding of system interfacing and hosting connectivity k. Understands customer requirements and expectations for medium sized projects or tasks; prioritizes, plans and meets deadlines for medium-size projects or tasks Technical Quality a. Documents process improvement ideas as appropriate b. Follows up and verifies quality of work deliverables; responsible for quality review of assigned projects and tasks Team Communications a. Develop action plans for meetings and follow through on assigned tasks b. Writing and reviewing documentation c. Contributes knowledge to decision documents; produces basic presentations d. Shares knowledge with team plans and meets deadlines for medium-size projects or tasks Performs other duties as assigned Complies with all WellStar Health System policies, standards of work, and code of conduct.
Required Minimum Education: Bachelor's Degree Information Systems, Computer Science, Statistics, Mathematics, or similar technical degree Required or or equivalent work experience in directly related, data analytics role. Smart Square, Lawson, iCims, and Kronos background preferred. Required
