Job Summary: Coordinate the activities necessary to ensure the timely, efficient and accurate compliation and processing of team member schedules for all nursing units. Prepares all the reports necessary for processing the information required to analyze productively, overtime, sick leave, unscheduled call-ins, FMLA and incentive pay hours and dollars. Through expert use of the nursing automated scheduling system runs and distributes weekly, monthly, quarterly and annual reports to Patient Care services leaders reflecting the human resource utilization for those time periods. Prepares miscellaneous reports as may be required for Patient Care Services and other health system leaders. Demonstrates expert knowledge of the nursing automated scheduling system and serves as a user resource to leaders and team members. Core Responsibilities and Essential Functions: Scheduling * Coordinates the scheduling process of nursing units for the hospital and ensures all work is completed in a timely manner * Resolves scheduling issues with department directors/managers as needed * Reviews the units schedule for accuracy and completeness, referring back to the manager any necessary corrections required to assure appropriate staffing for that individual unit * Develops and maintains a process for two way communication of schedule changes with the managers * Prepares and distributes unit specific reports on absent call-in, FMLA, overtime, sitter usage, request for usage of WellStar Temps and use of WEO shifts * Prepares all the information necessary for processing productivity reports and staffing ratios per unit * Maintains the automated nursing scheduling system manuals and workbooks consistent with the system vendors most up-to-date release of the system * Actively participates in the development and revision of the policies relating to nursing staffing and scheduling * Demonstrates knowledge of the principles and policies that relate to staffing efficiency and its relationship to the automated scheduling system and recommended staffing ratios * Makes recommendations for any changes needed in staffing and scheduling processes and procedures to enhance the efficiency of the staffing office * Collaborates with Information Systems to ensure automated system functionality remains consistent with updates to meet staffing program needs * Through expert use of the nursing automated scheduling system, prepares, runs and distributes weekly, monthly, quarterly, and annual reports to Patient Care services leaders reflecting the human resource utilization, budgeted and earned hours and skill mix verses actual, for those time periods * Serves as the liaison between the automated scheduling system account representative and Hospital leadership to ensure timely completion of updates, educational activities and software changes * Participates in the checks and balances that assure nursing schedules that are accurate and complete to ensure maximum efficiency and responsible use of Hospital resources * Performs daily adjustments for call-ins, census drops/increases, sitter needs, etc., on a shift-to-shift basis. Education * Conducts classes for all nursing personnel needing training on the use of automated staffing program * Develops and maintains an auditing process for verifying schedule entries and correctness on a regular basis; providing variance reports after each scheduling period to document accuracy and change information * Actively participate in the resolution of discrepancies and scheduling system issues that may contribute to any discrepancies Human Resources * Collaborates with managers and human resources to provide information on team members who have exhausted FMLA or LOA benefits, violated the absentee policy; have excessive use of over-time and unscheduled leaves-of absence * Receives and answers float inquires from employees in a timely manner * Tracks WEO absences Performs other duties as assigned Complies with all Wellstar Health System policies, standards of work, and code of conduct.
Required Minimum Education: High school graduate Required and Bachelor's Degree Preferred
