Executive & Administrative Services Manager

The Association of Equipment Manufacturers (AEM) is seeking a dynamic and service-oriented professional to join our Advocacy team as an Executive & Administrative Services Manager. This role offers a unique blend of variety and challenge through providing high-level support, facilitating internal communication, and overseeing administrative functions for our Washington, DC office.

Key Responsibilities:

Communication:
  • Keep DC staff informed about team goals, directives, projects, and ongoing work.
  • Facilitate alignment and communication between Milwaukee and Washington, DC offices.
  • Act as a central communications link within the organization.

Executive Support:
  • Manage schedules and calendars for executive staff.
  • Assist in prioritizing and managing internal requests and deadlines.
  • Coordinate travel plans and itineraries.
  • Support communications.

Human Resources Support:
  • Collaborate with the HR team to ensure alignment with processes, policies, and procedures.
  • Develop supportive and productive relationships with the DC team to achieve AEM's value outcomes.

Leadership:
  • Use active listening to understand and address the needs of executives and staff.
  • Maintain confidentiality with sensitive matters while cultivating positive working relationships.
  • Engage in critical conversations to resolve issues, clarify situations, and foster a positive culture.

Office Management / Administration:
  • Oversee all office operations, including budget management.
  • Manage office supplies and vendor relationships.

Other Duties as Assigned:
  • Contribute to positive outcomes as situations develop.
  • Cross-collaborate with Milwaukee Administration teams.
  • Take on assignments outside of assigned duties, such as event coordination and research.

Requirements:
  • Minimum of 5 years office management experience.
  • Ability to travel to Milwaukee headquarters 1-2 times per year.
  • Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Strong verbal and written communication skills, including excellent grammar and proofreading.
  • Adaptability and flexibility with a positive attitude towards change.
  • Ability to manage multiple projects and meet deadlines.
  • Self-motivated problem solver with the ability to translate ambiguous ideas into solutions.
  • Proactive attitude, ownership of tasks, and anticipation of needs.

Preferred Qualifications:
  • BA in Business Administration, Management, or related field.
  • HR-related experience in compliance and employee relations.
  • Experience in advocacy or government work.
