Quality Assurance Administrative Assistant Needed in Santa Maria (Farming & Food Safety Industry)

Shift: Monday - Friday from 8am - 5pm
The Quality Assurance (QA) Admin Assistant will work closely with auditing processes.
We are looking to fill an Organic QA Administrator position. We certify food safety programs in the agricultural sector. Company Operations provides the fresh produce industry with technical services related to the safe production and handling of produce.
Description:
Administrator of Organic application processes and a liaison between the operations department and QA. Includes onboarding during the application process, administration of applications, overview of completion of review processes. In addition, answer Organic QA related customer inquiries and assist with department special projects.
Qualifications:
Administrative related degree or at a minimum a High School diploma
2+ years of experience in administration or of similar capacity
Agriculture experience preferred
Strong customer service skills
Effective communication, problem solving, and organizational skills
Excellent verbal and written communication skills
Bilingual in English and Spanish is preferred, with strong verbal and written communication
skills in both languages.
Ability to efficiently prioritize multiple priorities
Ability to work well independently and within a team structure
Easily adaptable to fast-paced work environment
Proficient in Microsoft Office (Excel, Word, PowerPoint) and/or Google Workspace(Google
Sheets, Docs, Slide)
Responsibilities:
Assist with onboarding new and existing clients during the application process
Manage anniversary reminders and incoming applications.
Data entry into scheme platform and documents
Archive client information and maintain communication with other departments
Communicate OSP approvals to the Operations department
Generate links to share client folders
Work closely with other departments to streamline the application process.
Generate letters of good standing and letters of confirmation
Assist with incoming calls and email requests
Draft letters and/or notices, such as Information Requests, Notices of Noncompliance,
adverse action notifications, etc.
Provide customer technical support for QA related notifications (IR, NoNC, adverse
actions)
Assist with Organic QA special projects
Assists with content for Annual Calibration training
Conduct additional service reviews
Recommend improvements to processes for improved company efficiency of day-to-day operations
