Advent Talent Group is seeking an Executive Assistant for a thriving manufacturing client with locations in Coon Rapids and Brainerd, MN. You will provide high-level administrative support to the President and Executive Leadership team and your contributions will be essential to the daily operations of the Executive Office and the overall mission of the organization.
Overview:
Direct Hire - Full time
Compensation Range: $70,000 - $100,000
Daily on-site presence in Coon Rapids, with monthly travel to Brainerd and quarterly off-site meetings.
Typical business hours are Monday to Friday, 8 AM to 5 PM
Responsibilities:
Manage complex calendars, communications, and high-level appointments for the President and Executive Leadership Team, prioritizing and coordinating activities with meticulous attention to detail
Orchestrate company meetings, corporate events, and executive travel arrangements, including comprehensive itinerary planning, logistics coordination, and on-site support
Develop and manage strategic communications, including creating content for executive presentations, memos, and reports, while maintaining strict confidentiality
Provide crucial support in Executive Leadership team meetings, including attendance, note-taking, follow-up actions, and information gathering from various departments
Manage financial aspects such as credit card reconciliations and expense reports for the Executive Leadership Team, ensuring accuracy and compliance
Spearhead administrative efficiency initiatives, including organizing digital and physical files, streamlining processes, and researching solutions for operational challenges
Collaborate with various departments, particularly marketing, to assist with trade shows and event planning, representing the executive office in cross-functional projects
Qualifications:
5+ years of executive assistant experience, preferably supporting C-level executives in a manufacturing setting
Willingness to work on-site in Coon Rapids with periodic travel to other locations as required
Exceptional organizational, time management, and communication skills, with a high level of emotional intelligence
Proficiency in MS Office Suite, with familiarity in EOS systems (Bloom Grow) considered a plus
Demonstrated ability to maintain strict confidentiality, exercise sound judgment, and work independently
Proactive problem-solver with a flexible, adaptable approach and a positive, collaborative attitude
