Responsibilities
Delivers high-level support to an executive-level department head and C-suite executives, acting as a reliable liaison between leadership, clients, and external partners.
Demonstrates a comprehensive understanding of company products, strategies, and organizational structure to advance business goals efficiently.
Exercises absolute discretion in handling confidential information and sensitive matters.
Creates and distributes professional communication materials while managing time-sensitive matters with strategic judgment.
Coordinates complex calendar management for the Senior Executive Team, including prioritization and efficient scheduling across multiple time zones.
Coordinates comprehensive domestic and international travel arrangements.
Develops and manages agendas for new associate onboarding, client meetings, and internal events.
Oversee meeting coordination including participant notifications and priority adjustments.
Provides professional reception services for C-Suite visitors, ensuring exceptional experience.
Manages office operations including vendor relationships, supplies, and facility maintenance to ensure smooth daily operations.
Ideal Experience
Bachelor's degree preferred.
Minimum 6+ years of high-level administrative experience, including 3+ years of C-level executive support.
Financial services industry experience is strongly preferred.
Advanced proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
Outstanding organizational and analytical capabilities for efficient report preparation and multi-tasking.
Possesses high emotional intelligence, exceptional interpersonal skills, and strong business acumen.
