ABOUT THE ROLE

The Office Manager will be the welcoming face and first point of contact for visitors to our vibrant real estate investment firm. This role involves ensuring a seamless and professional guest experience while managing the overall functionality of the office. The ideal candidate will work collaboratively with colleagues, the executive team, and guests, demonstrating a positive, adaptable, and helpful attitude.

WHAT YOU WILL DO
  • Welcome office visitors, provide technical assistance with phone or video systems, offer refreshments, and support meeting arrangements.
  • Provide heavy expense management for multiple leaders.
  • Direct incoming calls to the appropriate team members.
  • Manage office supplies by monitoring inventory, placing and tracking orders, stocking items, and delivering supplies to workstations.
  • Oversee office upkeep by coordinating with the cleaning crew and property management.
  • Maintain the kitchen's cleanliness and ensure it is well-stocked.
  • Assist with internal and external hotel and restaurant reservation requests.
  • Handle a high volume of mail, packages, and other correspondence, including reading and addressing incoming mail independently.
  • Perform various clerical duties.
  • Organize company-wide events.
  • Complete and approve expense reports via Tripsware for both personal and team use.
  • Support colleagues with special projects.
  • Manage travel arrangements and calendars for two senior executives.

WHO YOU ARE

We are looking for a motivated professional who thrives in a fast-paced, entrepreneurial environment. As the first point of contact for guests, you must exude professionalism, warmth, and a polished demeanor. The ability to independently manage multiple tasks simultaneously is essential. Successful candidates will have prior experience in an office setting and possess the following skills: scheduling, telephone etiquette, typing, documentation, meeting planning, verbal and written communication, dependability, attention to detail, and administrative writing. Familiarity with Concur travel software is a plus but not required.

YOUR QUALIFICATIONS

Required:
  • High School Diploma
  • Experience in an administrative support role is beneficial but not mandatory
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Strong organizational and project management skills
  • Exceptional business writing and verbal communication skills
