Role Description
This is a full-time, on-site role for an Office Manager at Emerald BioVentures in New York, NY. The Office Manager will be responsible for overseeing day-to-day office operations, managing administrative tasks, coordinating office equipment maintenance, providing exceptional customer service, and handling office administration duties.
Job Responsibilities
Overseeing the day-to-day office needs including, maintaining a neat and organized office & conference room, liaising with building maintenance on any issues, communicating with cleaning services.
Receiving, sorting, and distributing mail, documents, and deliveries.
Greeting visitors and providing a welcoming environment.
Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics.
Answering, screening, and directing calls, taking messages, and monitoring voice mail.
Occasional meeting coordination assistance.
Maintaining corporate documents and files via Microsoft Office and Dropbox.
Enter clients in security and maintain the conference room schedule. Enter clients in security registration. Order catering, office supplies, kitchen snacks and beverages as needed.
Facilitate communication between appropriate stakeholders at all different levels.
Prioritize and resolve conflicting needs with little to no guidance.
Assist with special projects as required.
Qualifications
Communication and Customer Service skills
Experience in Administrative Assistance
Knowledge of Office Equipment maintenance
Proficiency in Office Administration tasks
Excellent organizational and multitasking abilities
Strong attention to detail and problem-solving skills
Ability to work effectively in a fast-paced environment
Previous experience in a similar role is a plus
