The ideal candidate will provide top-level assistance for the CEO of the business. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
Calendar Management: Scheduling and organizing meetings, appointments, and events.
Communication: Handling emails, phone calls, and correspondence on behalf of the CEO.
Travel Arrangements: Planning and booking travel itineraries, accommodations, and transportation.
Meeting Preparation: Preparing agendas, taking minutes, and following up on action items.
Document Management: Creating, reviewing, and organizing documents, reports, and presentations.
Project Coordination: Assisting with project management tasks and ensuring deadlines are met.
Confidentiality: Managing sensitive information with discretion and maintaining confidentiality.
Stakeholder Liaison: Acting as a point of contact between the CEO and internal/external stakeholders.
Office Management: Overseeing office supplies, equipment, and administrative processes.
Problem-Solving: Addressing issues and finding solutions to support the CEO's efficiency and productivity.
Qualifications
Bachelor's degree or equivalent experience
at least 5 years supporting a CEO is required
Proficient in Microsoft Office suite
Experience in managing multiple priorities, administrative coordination, and logistics
Well-organized, detail-oriented, ability to multi-task with great follow-up skills
