We focus on guiding individuals through the complex processes of real estate transactions and estate planning, ensuring a smooth experience for our clients at every step.Position Overview: We are seeking a professional and organized Receptionist to manage our front desk daily and perform a variety of administrative and clerical tasks. As the face of our law firm, you will play an essential role in creating a lasting impression with our clients.Responsibilities:Greet and welcome clients as soon as they arrive at the office, ensuring they feel comfortable and valued.Obtain proper identification from buyers and sellers, offer refreshments, and seat parties for closings.Answer, screen, and forward incoming phone calls while providing basic information when needed.Maintain office security by following safety procedures and controlling access via the reception desk.Receive, sort, and distribute daily mail and deliveries.Schedule and confirm appointments, manage calendars.Ensure the reception area and all common areas are tidy and presentable, with all necessary stationery, materials, and supplies.Perform administrative tasks, such as filing, photocopying, transcribing, and faxing.Process client payments and maintain financial records.Assist with legal document preparation as required.Order office supplies and keep inventory of stock.Qualifications:High school diploma or equivalent.Proven work experience as a Receptionist, Front Office Representative, or similar role.Proficiency in Microsoft Office Suite.Hands-on experience with office equipment (e.g., fax machines and printers).Professional attitude and appearance.Solid written and verbal communication skills.Ability to be resourceful and proactive when issues arise.Excellent organizational skills.Multitasking and time-management skills, with the ability to prioritize tasks.Customer service attitude.Work Environment:Fast-paced, professional office environment.Interaction with clients, attorneys, and other staff members.Opportunities for growth and development within the firm.
