Position Overview:
Beacon Hill's client is seeking a detail-oriented and proactive Sales Coordinator to join their Operations team. This dynamic role will support a team of brokers by providing a range of administrative, marketing, financial, and operational functions. You will collaborate with brokers, research, marketing, and finance teams, gaining exposure to multiple aspects of the business in a fast-paced and collaborative environment.
Key Responsibilities:
Business Operations:
Gather market research and prepare client deliverables such as market surveys, tour books, and competitive sets
Prepare deal documents, including Requests for Proposals (RFPs), Letters of Intent (LOIs), renewal letters, and leasing status reports
Update and maintain CRM database with prospect, client, and deal information
Marketing:
Manage and maintain listings
Create marketing flyers, brochures, and email distributions
Prepare and edit presentations, pitches, and client deliverables for meetings
Assist with planning and coordination for client events and industry functions
Finance:
Track and process broker expense reports in compliance with company policies
Administrative:
Handle general office tasks such as scheduling meetings, greeting clients, printing, binding, and conference room setup
Provide IT support for brokers and assist with travel arrangements
Maintain a positive work environment and manage front desk coverage as needed
Qualifications:
Required:
1+ years of experience supporting a team, preferably in commercial real estate or a professional services environment
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat
Must have experience with Adobe InDesign for creating marketing property packets
Preferred:
Strong project management skills with the ability to multitask and prioritize
Proactive, detail-oriented, and able to work independently and with a team
Discreet and professional in handling confidential information
Strong proofreading and editing skills
Additional Requirements:
Ability to manage shifting priorities and work under pressure in a high-volume environment
Must be confident and able to speak up when necessary
