High-profile investment management firm headquartered in Manhattan is seeking to hire a Temporary-to-Permanent Receptionist / Personal Assistant to the CEO for the newly opened office in Palm Beach Gardens. This position will start ASAP, requiring 5 days on-site from 8am-5pm as the sole administrator for a small team. This is an awesome opportunity to wear many hats with a growth track of becoming the senior support for the Founder, while learning from other team assistants in New York City.
Responsibilities:
Administrative support for CEO/Founder while he is in Florida office
Partner with CEO's NYC Executive Assistant to provide seamless administrative support
Administrative support for two traders and any additional visiting employees
Copying, filing, phone coverage and general clerical duties
Pick up and deliver lunch orders, plate lunches and other miscellaneous deliveries throughout the day
Valet parking CEOs car in reserved spot
Personal support for the CEO, including: running errands, heavy calendar management, contact maintenance, making personal appointments, gift buying, event planning, vacation planning and travel arrangements. Research - ability to be resourceful and track down information/unique items
Log all guests into the building security system
Meet and greet guests - seat and offer drinks
Manage conference room - coordinate all meeting requests, maintain tidiness, set up and break down of meetings
Manage all incoming and outgoing mail, receive and log all deliveries from FedEx, UPS and messenger services
Replenishing and ordering stock in office supplies and stock in kitchen; communicate with the Director of Administration to ensure adequate stock levels at all times
Fill paper trays, check toner levels, clear jams in copy machines
Walk the floor on a regular basis and check lighting, floors, carpets, kitchen for any issues
Submit ad hoc requests with the building including maintenance repairs and requesting ID cards
Point person for Emergency Repairs and "fire drill" moments - leaks, alarms, unannounced visitors, one-off clerical requests, basic office maintenance repairs (broken furniture, doors, locks etc)
Maintain tidiness in kitchen including washing and putting away dishes
Manage subscriptions and process invoices as needed

Hours - in office, Monday - Friday 8:00am-5:00pm with 24/7 availability and flexibility to work over-time. The company provides lunch each day.
Compensation/Benefits:
80-90K base + Discretionary Bonus
