GENERAL DESCRIPTION
The Physical Plant Office Manager reports to the Director of Physical Plant. This position provides administrative support to the Physical Plant Department, which operates in a fast-paced, setting that is responsible for seeing that the LSCO campus buildings and facilities are safe, comfortable, and aesthetically appealing for our students, faculty, staff, and community.
Duties and responsibilities for this role include but are not limited to the following:
ESSENTIAL JOB FUNCTIONS
1. Actively promotes and supports the LSCO Physical Plant Departments' Vision for success.2. Assist the Director in all activities as necessary to ensure the effective daily operations of the Physical Plant Department, including CMMS, daily team activities, vendor management, schedules, calendars, travel arrangements, etc.3. Ensure Compliance with TSUS and LSCO policies and procedures in all departmental functions and operations.4. Assist the Director in developing long-range plans, department policies, procedures, and training plans.5. Participate in the planning of construction and maintenance for facilities and in the tracking and reporting of deferred maintenance and other state reporting (CIP, MP1).6. Support all Campus Departments as appropriate to achieve LSCO goals and commitments.7. Provide off-hour support for emergency or urgent needs as part one of the departmental emergency responders.
Responsibilities1. Goods and servicesa. Create appropriate requisitions as needed supporting the needs of the department, including vendor services, vendor catalogue purchases, and other goods as needed to support campus needs.b. Communications with support vendors to ensure receipt of purchase orders.
2. Department Invoicinga. Receipt and review of all supplier and vendor invoices for accuracy and alignment with TSUS and LSCO policies and guidelines, as well as contractual obligations.
3. Reportinga. Compliance with Texas State Comptrollers Office Fleet Management Requirementsb. Compliance with all LSCO campus inspection requirements.c. Compliance with TSUS and LSCO Procurement requirements.d. Compliance with department budget commitments.e. Vendor Invoicing and Payment accuracy.f. Departmental progress metrics
4. Recordsa. Maintaining accurate records as necessary for the department, including but not limited to compliance records, service records, warranty requirements, contractual records, shipping and receiving records, training records, department personnel records, etc.b. Maintain compliance with TSUS and LSCO records retention requirements.
5. Shipping, Receiving and Campus Maila. Performing receiving functions for the LSCO campus, including receiving orders, verifying accuracy of orders received and condition of goods, sorting and labeling for delivery.b. Performing shipping duties for the LSCO campus.c. Receiving and sorting of USPS and intercampus mail, sorting for departmental delivery, and if necessary, making deliveries.
6. Inventorya. Support LSCO Business Office to ensure compliance with TSUS and LSCO inventory management requirements.
7. Other duties as assigned by Director, Utility Mechanic, or Assistant Vice President for Finance.
GENERAL QUALIFICATIONS REQUIREMENTS
EducationA bachelor's degree in general business, management, construction, or a related field is preferred. Other relevant work experience may be considered as an equivalent, with demonstrable skills in office operations, trades, and/or facilities support.
Experience5 years' experience in a general office setting required. Prior experience working in the office environment of a Physical Plant department or other facilities maintenance field is preferred.
Knowledge, Skills, and AbilitiesWorking knowledge of business terminology, spelling, and arithmetic; of basic bookkeeping methods; of office practices and procedures; and of automated systems and equipment.Ability to understand and skills to carry out complex instructions; to perform assignments according to standard procedural requirements and to apply best practice bookkeeping methods, recordkeeping, Proficiency with Microsoft Office Suite, Including Excel, Word, PowerPoint, and Teams.
Physical Requirements
Requires constant sitting, walking, and working in a mixed environment. Requires frequent lifting, pushing, pulling, stooping, bending, and carrying objects up to thirty pounds.
Security SensitiveThis position is security-sensitive and thereby subject to the provisions of the Texas Education Code §51.215.
Working EnvironmentNormal office environment, with frequent interactions in workshop area and across the college campus.
