The University of Miami has a great opportunity for a Grant Accountant 1 to work at the Coral Gables Campus.


The ORA Grant Accountant I - Collections supports a robust grant and contract portfolio and ensures pre- and post-award requirements are met. The ORA Grant Accountant is responsible for reporting and monitoring sponsored research accounts from award set up through closeout while adhering to University, state, and federal policies. This position works independently, plays an important role in post-award compliance by ensuring that budgets are not overspent, grant periods are adhered to, costs are allowable under the award, and accounting records are maintained in good order. Moreover, this position acts as a liaison for faculty and staff to various central support offices.



CORE JOB FUNCTIONS



Assists with or performs grant-related post-award functions, including award setup and budget distributions, expense monitoring, periodic invoicing, and financial reporting. Performs grant closeout functions such as reconciliations and financial status reports. Ensures high quality, efficient service to the research community, and participates in innovative customer service initiatives. Assesses need and aids in the resolution of matters in conjunction with principal investigator or department administrator. Assists with time and effort reporting system, ensuring it is complete and in compliance with applicable regulations. Communicates with fiscal contacts at funding source for problem resolution and information gathering. Maintains a demonstrated knowledge of Federal regulations related to Research Administration, including the Uniform Guidance, Cost Accounting Standards, Federal Acquisition Regulations, and major Federal funding agency guidelines. Assists in the completion of all aspects of the annual audit report on federal awards. Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS




Education:



Bachelor's degree or any appropriate combination of relevant work experience and/or education may be considered.



Certification and Licensing:



Successful completion of Certified Public Accountant, Certified Financial Research Administrator, or Certified Research Administrator status or equivalent designation preferred.



Experience:


Minimum 3 year of relevant experience. University Research Administration experience is highly preferred. Knowledge of federal and state laws, regulations, and policies related to research administration. Any appropriate combination of experience and/or certifications may be considered.



Knowledge, Skills and Attitudes:



  • Ability to work independently with minimal supervision.


  • Demonstrated knowledge of Federal regulations related to Research Administration, including OMB Uniform Guidance, Cost Accounting Standards, Federal Acquisition Regulations, and major Federal funding agency guidelines.


  • Excellent computer skills and facility with using MS Excel (sorting, pivot tables, filtering, basic formulas).


  • Excellent mathematical and analytical skills.


  • Excellent communication skills, ability to translate and summarize numbers into an understandable narrative to others.


  • Ability to communicate effectively in written and oral with a diverse group of individuals.


  • Demonstrated experience using institutional systems.


  • General knowledge of office procedures and operations.


  • Skill in data entry with minimal errors.


  • Ability to accurately prepare and maintain records, files, reports and correspondence.


  • Skill in completing assignments accurately and with attention to detail.


  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.


  • Ability to process and handle confidential information with discretion.


  • Ability to communicate effectively in writing and verbally as well as the capability to work well under pressure in an environment with deadlines is a necessity.


  • Must be able to translate and summarize numbers into understandable narrative to others and make independent decisions.


  • Comprehensive knowledge of policies and issues related to sponsored projects administration in an institution of higher learning is necessary.


  • Knowledge of and ability to use computer equipment and software including word processing, databases, spreadsheets, web browsers, e-mail, etc.





Department Specific Functions



The ORA Grant Accountant I - Collections supports the research mission of the University of Miami and the goals of the Office of Research Administration and is an integral partner in a sponsored programs administration team. Directly responsible for tracking and collecting outstanding receivables, the Grant Accountant collaborates with internal teams and external sponsors to resolve issues, provide aging receivables reporting, and support audits.




  • Proactively track outstanding receivables, follow up on overdue payments with sponsors, and escalate issues as necessary to ensure timely collection of funds.


  • Serves as a liaison between the organization, sponsors, and grantors, addressing questions and resolving issues related to invoicing and collections.


  • Prepares detailed financial reports for grant sponsors and internal stakeholders, highlighting collections and financial status.




  • Works closely with grant administrators, finance teams, and project managers to ensure seamless grant administration and financial management.


  • Identifies and recommends improvements to invoicing, reconciliation, and collections processes to enhance efficiency and effectiveness.


  • Reconciles grant revenue, expenses, and accounts receivable as needed to maintain accurate financial and collections records, as well as to process any refunds necessary following sponsor guidelines for refunds.
