Job Role Summary
The Pharmacy Operations Supervisor serves as an essential member of the healthcare team through contributions to daily pharmacy operations and staff supervision. The Pharmacy Operations Supervisor provides oversight of overall pharmacy operations, including work performed by pharmacists and pharmacy technicians, aiding in optimal department workflows focused on efficiency and safety. Additionally, the Pharmacy Operations Supervisor contributes expertise to the medication use process inclusive of order verification, product preparation, drug dispensing, and clinical review.
Essential Functions and Responsibilities
Performs all duties with a focus on safety, recognizing that safety is our top priority; evaluates compliance with established medication safety procedures; offers suggestions to improve medication safety based on best practice; routinely documents medication errors; serves as a change agent, promoting an environment with a constant focus on medication safety
Performs the following clinical skills: consistently performs clinical duties through thorough review of relevant information in patient medical records; consistently resolves, documents, and communicates appropriate clinical concerns; aids in the development of patient-specific pharmacotherapy plans considerate of patient, disease state, and available medical literature; provides information concerning medications to prescribers, nurses, other health professionals patients, and their representatives; assists with formulary management; adheres to drug use criteria
Performs the following technical skills: accurately enters orders into the electronic health record and ensures medications are correctly prepared and labeled prior to dispensing; oversees preparation of medications; understands departmental workflows; offers and implements suggestions to improve quality and efficiency; understands and consistently utilizes all department and health-system information systems; serves as a resource for all others in the department in this regard
Performs the following supervisory skills: supervises and directs pharmacists and pharmacy technicians; monitors the daily operations of pharmacy area; organizes, deploys, and redeploys staff to maintain workflow; ensures efficient use of downtime; ensures documentation of system problems and employee performance, as needed; follows all steps involved in progressive disciplinary action, including, investigation, documentation, human resource consultation, management consultation, preparation of reprimand documents, delivery of reprimand, and appropriate follow up after discipline is issued; interviews candidates for open positions, assists in hiring decisions, and completes all appropriate paperwork to complete process; serves as a liaison between staff and managers; acts as manager in absence of manager; analyzes and adapts to changes in volume and staffing; educates and trains staff to ensure compliance with established policies and procedures; monitors staff training progress and recommends follow-up, as needed
Maintains responsibility for regulatory compliance, to include the following: performs controlled substance accountability duties; ensures 100% timely completion of ward inspections; ensures constant state of readiness, and suggests and implements process improvement; consistently maintains compliance with all policies and procedures
Participates and/or leads meetings at the direction of the Pharmacy Manager; remains up to date on departmental processes by attending staff meetings, reviewing meeting minutes, and reading email communications
Works with a sense of urgency to assist customers and encourages the same sense of urgency in others; resolves crisis situations in a calm, constructive, and professional manner
Works collaboratively with multidisciplinary team members to provide patient-centered care; anticipates service needs and proactively resolves issues
Encourages a teamwork environment through the following: positive staff morale by developing and maintaining working relationships with all Pharmacy team members; fosters an environment of accountability with fellow pharmacists and technicians
Remains informed of developments in area of expertise through review of professional literature, attendance at professional organization meetings, and completion of continuing education
Job Requirements
• Doctor of Pharmacy (PharmD) degree or Bachelor of Science in Pharmacy required • Licenses/Certification required: Licensure in the State of Indiana or Licensure eligible (until licensure, pharmacy duties are limited, no dispensing functions) • Completion of a PGY1 pharmacy practice residency or a minimum of five years full-time experience in pharmacy with experience in distribution of medications for pediatric, adolescent, adult, and geriatric patients preferred • Previous experience in a hospital/clinic pharmacy preferred with experience in distribution of medication for pediatric, adolescent, adult and geriatric patients required • Certification through the Board of Pharmacy Specialties preferred • Participates in continuing education activities and in the activities of local, state, and national pharmaceutical associations
Knowledge, Skills & Abilities
• Knowledge of medication classes, pharmaceutical terminology, abbreviations, symbols; knowledge of manufacturing, packaging, and labeling of drug products, use of pharmaceutical instruments and equipment; knowledge of metric system/mathematical calculations; knowledge of regulatory standards related to non-sterile compounding, sterile compounding, and hazardous drugs
