Job Description:

The Facilities Associate will be responsible for ensuring that all building systems in the facilities are working properly. Performs building maintenance duties, oversee janitorial, landscape, parking areas, etc. Coordinates building maintenance duties in other locations as required. Must be available to perform after hours and weekend work as required.



Responsibilities:




    • Checks monitoring system of air conditioning, elevators, emergency generator, electrical, etc. to perform routine scheduled maintenance and ensure proper functioning and maintain the systems in good working order. Maintains adequate level of diesel fuel for emergency generator.

    • Performs a variety of maintenance functions including by not limited to painting, basic electrical repairs, furniture repairs, installations, plumbing repairs, pressure washing, setup of furniture for special events, all at the direction of the Facilities and Building Manager.

    • Secures key areas of the building.

    • Monitors the general status of the building, such as doors, air conditioning, electrical, elevators, alarms, green areas, parking, etc.

    • Responds on a 24-hour basis to alarms and emergencies in the building. Incumbent must always be available during emergency situations not limited to weather events such as hurricanes.

    • Strictly adheres to safety rules, regulations and safe work practices. Responsible for maintaining a risk-free environment in all areas of the building. Ensures proper level of cleanliness and orderliness.

    • Allocates workload to Facilities Associate/Handyman depending on priorities and time constraints.

    • Tracks work orders, maintenance requests and matches to invoices for budget tracking.

    • Assists in department moves of furniture, equipment and files.

    • Contacts vendors and contractors to request services or supplies for the building. Refers potential contracts to manager for negotiation.

    • Picks up and/or delivers furniture/supplies from warehouse.

    • Provides building access to approved contractors, vendors, or staff members as needed, including before or after hours and on weekends.

    • Receives and fulfills work order requests from employees in the Service Now Portal (S-NOW) and responds to requests in a timely manner.

    • Maintains log of all repair jobs, maintenance visits, scheduled changes and replacement parts installed in all our building systems.

    • Performs monthly inspections at all locations at the direction of the Facilities Coordinator to check for deficiencies and work needed.

    • Occasionally, depending on the needs of the business, participates in projects related to remodeling, improvements, or special maintenance of the building.

    • Ensures preventive measures are carried out to fully comply with current rules, regulations and internal policies relating to risks pertaining to BSA, USA Patriot Act, OFAC and other AML related issues.

    • Identifies, evaluates, monitors and makes any recommendation deemed necessary to their respective Risk Management Committee in order to assess, reduce, eliminate or control any current or prospective risks to earnings or capital arising from violations of, or nonconformance with, laws, rules regulations, prescribed practices, internal policies and procedures or ethical standards.






Work Experience:



Knowledge of plumbing, electrical, basic carpentry, sheet rock, painting, door hardware, fire alarms, fire sprinkler, and other maintenance related fields.


Experience in building maintenance, operations, construction or facility repair work.



Education and/or Certifications:



High school or GED required or equivalent work experience. Must have and maintain a clean driving record as approved by the Human Resources department.



Technical Skills and Knowledge Requirements:



Entry level experience with Internet and MS Office Skills, including MS Word Level I and MS Excel Level I.


Experience with Service Now Portal (S-NOW) preferred.



Functional Skills and Knowledge Requirements:



Must be a team player, have the ability to work under pressure, have a professional image and be able to resolve problems andconflicts. Must possess basic communications skills such as basic writing and listening and have basic office and mathematics skills, and customer service skills.
