The Administrative Technician position provides vital administrative support to the Protection and Safety Administrator, contributing directly to the safety and success of our communities.
Key Responsibilities:
Financial Assistance & Expense Tracking: Manage bill payments and track expenses using the OnBase system and purchase cards to support the Service Area Administrator.
Travel Coordination: Organize and manage both in-state and out-of-state travel arrangements for CFS Case Managers across multiple offices.
Meeting & Event Support: Assist with preparing agendas, taking meeting minutes, setting Outlook reminders for probationary and evaluation dates, and more.
Interview Coordination: Work with HR to schedule and prepare for interviews for CFS workers, ensuring everything is ready for a smooth interview process.
Onboarding Support: Help new employees settle into their roles by ensuring equipment (laptops, phones) is ready and that all necessary documentation is completed.
Employee Separation Support: Manage personnel changes, including terminations, resignations, and supervisory transitions.
General Office Support: Handle various office duties, from managing ID badges to overseeing office supplies and reporting tech issues.
Fleet Management: Oversee the maintenance, cleanliness, and billing for DHHS fleet vehicles.
Supervision: Lead a team of 5 Office Technicians, serving as the main point of contact for communications in the Scottsbluff office.
Front Desk Assistance: Manage front desk coverage and assist walk-in traffic, ensuring smooth operations for all divisions.
Requirements/Qualifications
Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.
SPECIAL NOTES APPLICABLE TO ADMINISTRATIVE TECHNICIAN Some positions may require: experience and/or training that is unique to the work assigned; a valid driver's license or the ability to provide independent authorized transportation; and/or criminal history background checks and other specific background check protocols for their agency.
Familiarity with NFOCUS and reviewing court orders is a plus.
Strong communication and collaboration skills.
Ability to become a certified Notary.
Knowledge, Skills, & Abilities:
Strong understanding of office processes, word processing, file management, and customer service principles.
Skill in creating spreadsheets, charts, graphs, and reports.
Excellent time-management skills and the ability to prioritize effectively.
Ability to apply critical thinking and make recommendations for continuous improvement.
High level of confidentiality, professionalism, and attention to detail.
