The Office Coordinator will serve as the primary point of contact for our production facility and offices in Newton, MA, ensuring seamless operational functionality.
WHAT YOU'LL DO
Day-To-Day Responsibilities:
Maintain a clean and professional office environment, creating a welcoming atmosphere for clients and visitors.
Ensure all workplace facilities and resources function optimally for AVI-SPL staff and guests.
Manage daily mail and package deliveries.
Process incoming bills, invoices, and packing slips, distributing them to the appropriate AVI-SPL recipients.
Enforce safety standards and maintain office emergency response documentation.
Coordinate and manage vendor relationships for comprehensive office maintenance:
HVAC: Scheduled and emergency maintenance.
Plumbing: System repairs.
Electrical: Outlet and system repairs.
Office Cleaning: Addressing specific cleaning needs.
Fire Alarm Testing: Coordinating with operations and production teams.
Water Filtration: Maintaining all office units.
Phone and Cable: Ensuring all lines and connections are operational.
Replenish essential office supplies:
Light bulbs.
Toner and paper.
Coffee and snacks.
Welcome and prepare guests for live-shot production events, providing remote support with a live-shot operator.
Deliver hands-on IT user support for computer and network troubleshooting.
Escalate IT issues within AVI-SPL as necessary.
Monitor and update facility digital signage displays.
WHAT WE'RE LOOKING FOR
Must-Haves:
2 years of experience in office space and vendor/service technician support.
Exceptional attention to detail.
Ability to work onsite at our Newton, MA facility.
Ability to lift and carry up to 50 lbs.
Availability of occasional off-hours support for emergencies or after-hours maintenance.
Nice-To-Haves:
Experience in the hospitality industry.
College degree.
