Summary

As a Project Manager at Holt Experiential, you will oversee the planning, execution, and delivery of experiential marketing projects, including trade show exhibits, corporate interiors, events, and digital interactives. Collaborating with cross-functional teams, you will ensure projects are completed on time, within scope, and budget, while maintaining the highest quality standards.

Essential Duties and Responsibilities (Other duties may be assigned)

  • Project Planning and Execution: Develop comprehensive project plans outlining scope, objectives, timelines, and resource allocation. Lead project execution from initiation to completion, ensuring alignment with client goals and company standards.

  • Client Collaboration: Serve as a direct point of contact for clients, understanding their needs, managing expectations, and providing regular updates to ensure satisfaction and project alignment.

  • Ensure projects acceptance in accordance with design and invoice. Handle any post sale quality issues with outside vendors (Return Authorizations, reproductions, etc.).

  • Team Coordination: Work closely with internal teams, including design, engineering, production, service, sales, asset management, logistics, and accounting to coordinate efforts, assign tasks, and monitor progress, ensuring seamless collaboration and project success. Conduct project kickoff and status meetings.

  • Coordinate with the Service Department for scheduling of client previews, exhibit shipment, installation and dismantle and/or show services.

  • Budget and Resource Management: Manage project budgets, track expenses, and allocate resources effectively to ensure financial objectives are met without compromising quality.

  • Risk Management: Identify potential project risks and develop mitigation strategies to address challenges proactively, ensuring project continuity and success.

  • Quality Assurance: Maintain high-quality standards throughout the project lifecycle, conducting thorough reviews and implementing improvements as necessary.

  • Travel: Capacity for roughly 10% travel in national events and trade shows to help supervise exhibit install and dismantle. Capacity for local and/or regional travel to client facilities for site surveys and installation supervision for interiors projects.

  • Flexibility to work evenings, weekends, and additional hours as required to meet project deadlines and business objectives.

Essential Skills & Qualifications
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Strong problem-solving and critical-thinking abilities
  • Ability to multi-task and prioritize multiple projects simultaneously
  • Strong attention to detail and organizational skills
  • Knowledge of ERP systems, project management tools (e.g., Basecamp), and CRM platforms is a plus
  • Ability to work in a fast-paced, deadline-driven environment
  • Experience working in trade shows, experiential marketing, branded environments, construction, or event production is highly desirable.

Qualifications, Education, and/or Experience

To excel in this role, the individual must effectively fulfill all essential duties. The following qualifications represent the necessary knowledge, skills, and abilities:
  • 5+ years of related experience and/or training, or an equivalent combination of education and experience in exhibits, museum displays, or corporate interior display manufacturing.
  • Proven experience in project management within the experiential marketing industry, with a strong portfolio of successful projects.
  • Excellent organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, with the ability to build and maintain client relationships.
  • Proficiency in project management software and tools.
  • Ability to work in a fast-paced environment and adapt to changing priorities.

Language Skills
  • Proficient in reading, writing, and understanding English.
  • Capable of communicating effectively with management and co-workers.
  • Skill in presenting information clearly and responding to questions from groups of managers, co-workers, and clients.

Mathematical Skills
  • Ability to calculate figures and amounts such as distance, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic mathematics and geometry.

Reasoning Ability
  • Ability to solve practical problems and address a variety of situations with limited standardization.
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form.
  • Ability to manage multiple priorities efficiently while remaining composed under pressure.
