POSITION DESCRIPTION

RL Siteworx is seeking a highly organized and detail-oriented Equipment Coordinator to support our equipment management operations. This role is essential in ensuring the efficiency and accuracy of our equipment tracking by use of Tenna (equipment management software), dispatching, and record-keeping processes. The ideal candidate will be responsible for creating rental assets in Tenna for tracking, dispatch tickets, site creation, asset documentation, file management, and parts tracking in Tenna.

The role will be based at our corporate office in Pasadena, Texas. No travel required.

Objectives
• Create and maintain rental asset records in Tenna.
• Input parts, labor, and costs for work orders, track and update inspection records for equipment.
• Ensure accurate and timely data entry in Tenna and Smartsheets.
• Generate and update dispatch tickets to track equipment movement.
• Set up and maintain project sites within the Tenna.
• Maintain organized and up-to-date equipment records.
• Ensure compliance with company policies and regulatory requirements.
• Maintain accurate data entry for repairs and maintenance.
• Assist in monitoring equipment usage and generating cost reports.
• Maintain digital and physical record-keeping systems.
• Assist with report generation for leadership.
• Track and document parts orders, deliveries, and costs.
• Assist with compliance with DOT, OSHA, and company safety documents.
• Track and update inspection records for equipment.
• Ensure all asset documentation is up to date.
• Act as a central point of contact for equipment-related administrative tasks.
• Maintain Smartsheets and Microsoft Office documentation.

COMPETENCIES
  • Ability to maintain accurate records and data entry with minimal errors.
  • Efficiently manage multiple tasks, files, and work orders.
  • Strong ability to work with vendors, internal teams, and Management.
  • Experience with equipment management software (e.g., Tenna).
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to troubleshoot equipment tracking, work order, or compliance issues.
  • Ability to quickly adapt to new processes and support a growing department.
  • Strong ability to prioritize daily tasks and meet deadlines efficiently.
  • Works well behind the scenes to support equipment operations.
  • Understanding of construction equipment, dispatch systems, or fleet management.

EDUCATION REQUIREMENTS
  • High school diploma.

WORK EXPERIENCE REQUIREMENTS
• 2+ years of administrative experience in equipment, fleet, or construction management (preferred).
• Experience using equipment management software or dispatch systems (e.g., Tenna, similar programs).
