Description
The Office Professional for the Facilities Planning and Operations Department will provide administrative support for the Budget Office and the Associate Vice President. The position will greet and assist customers & visitors, respond to routine inquiries, and direct them appropriately. They will provide information and direction regarding service requests, handle electronic communications, retrieve and respond to voice mails & department emails, sort incoming mail, schedule routine and requested appointments, order and maintain office supplies, and send interdepartmental correspondence to other campus departments.
Support all divisions within the department with requests, clerical tasks, job orders, requisitions, updating system databases, generating reports, processing fiscal transactions and performing data entry. Perform clerical duties, including: filing, making copies, purging records, and special projects as requested.
Serve as the administrative assistant to the Associate Vice President for Capital Planning and Facilities Mgmt. to include calendar & appointment management, clerical tasks, and meeting preparations.
Examples of Duties
Administrative Support: - 45%
Greet and assist customers & visitors, respond to routine inquiries; refer complex inquiries to the appropriate person. Provide information regarding Facilities, Planning and Operations.
Electronically transmit information as requested.
Retrieve and respond to voice mail & email messages.
Disseminate department information to stakeholders.
Support Associate Vice President with clerical tasks & appointment management.
Prepare conference & meeting rooms for presentations and guest access
Support to Divisions: - 35%
Maintain electronic filing, data entry, and clerical assistance
Coordinate with our Service Center and other divisions as necessary, including work order systems, project tracking, logistics, fleet management, and vendor contact.
Receive maintenance/grounds requests, prioritize requests, and refer requests as needed.
Perform data entry of requests, materials purchased, etc., into the databases.
Schedule/maintain logs
Perform miscellaneous clerical tasks: - 20%
Filing documents - both paper and electronic
Making copies, preparing reports,
Purge and archive files and data.
Update forms to comply with process changes.
Special projects as requested
Typical Qualifications
Education:
High school diploma or equivalent
Experience:
Two years of data entry, clerical, and/or administrative assistant experience required.
Experience may be substituted for education based on the following: AA = 2 years experience; BA/BS = 4 years experience; MA/MS = 6 years experience.
Working Hours and Days: Monday - Friday 7:00 am -4:30 pm
