Job Description:

H2M architects + engineers, a multidiscipline architectural, engineering, environmental consulting firm is looking for a Proposal Coordinator to join our Marketing team in Melville, NY.

As an integral member of the H2M team, the Proposal Coordinator will be responsible for assisting the Proposal Team in a variety of tasks. The Proposal Coordinator must be able to prioritize, multi-task, and function effectively as part of a team under multiple deadlines and time constraints. AE experience is a plus, but not required. The successful candidate will be an enthusiastic team member who is a quick learner, able to keep up in a fast-paced environment, and asks questions to develop a deep understanding of the industry and organization.

Job Responsibilities


  • Collect, review, and distribute Requests for Proposals (RFPs), Requests for Qualifications (RFQs), etc., via H2M's CRM software.
  • Maintain win/loss records via H2M's CRM software, including client outreach, reviewing Board documents, etc.
  • Support proposal production, collation, and delivery.
  • Support the preparation of proposal forms, including SF 330s.
  • Set up folders and standard material for new pursuits.
  • Coordinate with Finance Department for the billing of new pursuits.
  • Communication and coordination with subconsultants.
  • Collect resumes, job histories, brochures, and other materials to support existing proposals.
  • Assist in the development of simple qualifications packages.
  • Adherence to Standards: Adhere to company brand standards.
  • Additional Duties: Perform all other job duties and responsibilities as assigned.

Education and Qualifications


  • Bachelor's Degree in Marketing, Communications, English or related field
  • 1+ years of experience with proposal development for a professional services firm
  • Experience with Deltek highly desired
  • Strong writing and communication skills
  • Experience with MS Suite and InDesign (a plus but not required)
  • Detail-oriented and organized with strong interpersonal skills
  • Highly motivated, confident, self-directing, and eager to learn
  • Works as a team player with the ability to engage and effectively work with employees in other offices
  • Ability to create and maintain relationships internally and externally
  • Ability to work with individuals at all levels of the organization

The salary range for this role is $27 - $34 an hour.
