Job Title: Sr. Administrative Assistant, Rockville
Job Description:
We are looking for a highly organized and proactive Sr. Administrative Assistant to provide critical support to our teams and executives. The ideal candidate will be detail-oriented, thrive in a fast-paced environment, and be dedicated to ensuring smooth and efficient daily operations.
Key Responsibilities:
* Admin Support: Provide comprehensive administrative assistance to executives and teams, ensuring seamless daily operations.
* Calendar Management: Oversee and maintain both executive and team calendars using Google Calendar, efficiently scheduling meetings, appointments, and events.
* Travel Coordination: Manage personal and professional travel arrangements for staff, including flights, accommodations, and transportation.
* Vendor/Visitor Coordination: Act as the primary contact for vendor and visitor meetings, handling logistics such as reserving conference rooms and organizing meals when necessary.
* Internal & External Communications: Serve as the key point of contact for both internal and external communications, ensuring clear, consistent, and timely information flow.
* Office & Kitchen Supplies Management: Supervise office and kitchen supply inventories, ensuring stock levels are maintained and orders are placed when required.
* Attention to Detail: Demonstrate a strong attention to detail across all aspects of work, ensuring accuracy in scheduling, communication, and support.
* Consistency: Maintain high standards of performance, ensuring tasks are consistently completed with efficiency and attention to detail.
Key Qualifications:
* Proven experience in an administrative support role, preferably within a dynamic, fast-paced environment.
* Proficiency in using MacBook and Google Calendar, as these tools will be used daily.
* Strong organizational and time management skills, with the ability to prioritize tasks effectively.
* Excellent communication skills, both written and verbal.
* Ability to manage multiple tasks and projects simultaneously.
* Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office productivity tools.
* Positive, professional attitude with a team-oriented mindset.
