Description

Manages the Service Center for Facilities, Planning & Operations to ensure quality customer service to the campus community. Manages access into the Enterprise Asset Management Systems for all users. Provides technical support to staff, bridging between systems and field service work. Oversees fleet management for the department.

Examples of Duties

Manages the daily operation of the Service Center for FPO to include: -60%
  • Oversees Service Center staff functions of customer service with emphasis on providing help utilizing problem resolution skills. Displays excellent communication skills and problem resolution capabilities. Maintains helpful and congenial attitude. Helps educate customers to department processes and acts as department goodwill ambassador at all times
  • Manages the Service Center Staff to include: hiring, training, and evaluation of the performance of employees including productivity, delegating work assignments among staff, approve leave requests, adjust work schedule as needed, and disciplinary actions as needed
  • Monitors the Enterprise Asset Management System for requests and evaluates to determine priority of need. Communicates immediate needs to appropriate managers/supervisors
  • Monitors the systems for possible duplication of work requests. Requires knowledge of campus and FPO work centers for successful evaluation
  • Audits the data entry function of work orders. Reports discrepancies to the appropriate manager/supervisor
  • Reviews completed work orders for correctness of information: technician notes, appropriate time and materials, timeliness of completion, etc.
  • Manages the workflows of customer requests in conjunction with team managers and supervisors to create and operate a cohesive operation of services
  • Develops protocols and standards for handling customer service operations.


Provide Administrative support for the daily operations of FPO to include: -20%
  • Maintain On Call and On Duty procedures, including rotations, and answering services
  • Serves as a resource for KRONOS support to staff and is the FPO interface with the Office of Technology.
  • Coordinate with Managers/Supervisors prior to the weekends to ensure continuity of service.
  • Manages FPO Key Access System.


Manages access to the Enterprise Asset Management Systems: -15%
  • Creates user accounts based on the needs of individuals. Assigns roles, grants access to appropriate modules. Modifies accounts as needed and terminates accounts when no longer required.
  • Provides training to users on how to access and utilize the systems.


Serves as administrator of Enterprise Asset Management Systems: -5%
  • Works with management team and OT for coordinating upgrades to systems.
  • Includes communication with users notifying them of changes within the system or time the system will be unavailable.
  • Tests updates in the system prior to upgrades being applied


Typical Qualifications

Education:
  • High school diploma or equivalent
  • Associate's degree in Business or related field.

Education may be substituted for experience or experience may be substituted for education. Note that equivalencies are based on the following: AA or 60 credit hours = 2 years experience; BA/BS or 120 credit hours = 4 years experience; MA/MS = 6 years experience; PhD = 8 years experience.

Experience:
  • Three years of office management, administrative assistant, customer service, or related experience is required.
  • One year of supervisory experience required


Working Hours and Days:
Monday - Friday 7:30 am - 4:00 pm
