Manning Personnel Group, Inc., is working with a clinical-stage biopharmaceutical company in the Watertown area as they are actively seeking an Executive Assistant.
The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented
RESPONSIBILITIES:
Completes a broad variety of administrative tasks for the President & CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Partner with the CEO on Board of Director and Executive Leadership Team meetings - support includes maintaining agendas, scheduling presenters and collecting/proofreading/distributing materials ahead of meetings.
Schedule internal/external meetings, organize conference calls, and protect the schedule from unnecessary and conflicting demands.
Act as the administrative contact between the executives and Board of Directors, employees, and external parties in an effective and professional way.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
REQUIREMENTS:
Minimum of 5+ years of experience supporting C-Level Executives in the Biotechnology or Pharmaceutical Industry.
Bachelor's degree preferred.
Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and DocuSign.
Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.
Ability to exercise discretion and confidentiality.
