Who We're Looking For
We are seeking a highly motivated and detail-oriented Executive Assistant & Project Manager to join our team. This role is ideal for someone who thrives in a fast-paced environment, excels at managing multiple projects, and has a strong ability to keep operations running smoothly.

The ideal candidate is proactive, organized, and an effective problem solver who can manage key projects while providing executive support. This position will play a crucial role in coordinating office tasks, ensuring projects stay on track, and supporting leadership in achieving business goals.

ResponsibilitiesProject Management & Coordination
  • Oversee and execute new client podcast launches, following a structured 45-day project plan.
  • Ensure the appropriate team members-both internally and externally-are prepared and present for meetings.
  • Drive internal and client-side actions by ensuring tasks are clearly assigned, completed correctly, and delivered on time.
  • Plan and organize company projects, events, and team trips as needed.
Executive Support
  • Manage and maintain the CEO's calendar, scheduling meetings, events, and travel arrangements.
  • Assist in managing the CEO's email and LinkedIn inbox, ensuring timely and efficient communication.
  • Logging calls and tracking follow-up for the CEO.
  • Assist the CEO with personal tasks, scheduling, and organization to ensure seamless balance between professional and personal responsibilities.
  • Assist the Operations Manager as needed.
  • Prepare materials and conduct research to support meetings and executive decision-making.
General Administrative Tasks
  • Maintain adequate supplies and assist with the upkeep of the office suite.
  • Arrange travel logistics and coordinate event planning.
  • Adapt to evolving needs, taking on additional responsibilities as required.
Qualifications
  • Strong organizational skills with excellent attention to detail.
  • Self-motivated with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong problem-solving and decision-making abilities.
  • Ability to work independently while collaborating effectively with a team.
  • Experience in project management (certifications are a plus).
  • Prior experience in executive assistance or administrative support is preferred.
  • Degree in business administration or project management preferred.
  • Marketing experience is a plus.
