Job Overview:

We are seeking a highly organized, professional, and proactive Executive Assistant to provide comprehensive support to executive leader. This role requires someone with excellent communication skills, exceptional attention to detail, and the ability to anticipate needs and take initiative. The Executive Assistant will play a critical role in ensuring smooth and efficient operations of the executive office.

Key Responsibilities:

  • Administrative Support:
  • Provide high-level administrative support to the executive, including managing calendars, scheduling appointments, and handling correspondence (email, phone, mail).
  • Communication Management:
  • Screen, prioritize, and manage incoming communications, ensuring timely and effective responses.
  • Travel Coordination:
  • Arrange complex travel schedules, itineraries, and logistics, including flights, accommodations, and transportation.
  • Meeting Coordination:
  • Organize and prepare agendas for meetings, take minutes, and follow up on action items as needed. Ensure all necessary materials and documents are available ahead of time.
  • Document Management:
  • Assist with the preparation of presentations, reports, and other documents for meetings, conferences, and external communications.
  • Project Management:
  • Assist with the management of various projects, including tracking timelines, budgets, and deliverables.
  • Confidentiality & Discretion:
  • Handle sensitive information with the highest level of discretion and confidentiality.
  • Client & Vendor Relations:
  • Serve as a point of contact for clients, partners, and vendors, maintaining a professional image and positive relationships.
  • Office Management:
  • Manage office supplies and other administrative tasks to ensure smooth office operations.

Requirements:
  • Education:
  • Bachelor's degree or equivalent experience preferred.
  • Experience:
  • At least 5 years of experience as an Executive Assistant or in a similar administrative support role.

Skills:
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Exceptional problem-solving and critical-thinking abilities.
  • Strong interpersonal skills and a high level of professionalism.
