Position Summary
The Assistant Project Manager is responsible for assisting Project Managers in coordinating the activities of a project to ensure cost, schedule, document control and quality standards are met. This is an entry level position with growth opportunities available. It is also an in-office work position only.
Requirements
High school diploma required
Two- or four-year degree preferred
1+ year customer service experience strongly preferred
Experience in the construction and/or design industry a plus
Ability to follow directions and take initiative when required
Excellent communication, accounting, and organizational skills
Familiarity with Microsoft Office and project management software a plus
Essential Functions
Assist the assigned Project Manager with the following:
Task prior to the start of project
Ensure that all drawings, addendums, RFI's, and correspondence are recorded in Document Control. All documents are to be received with a transmittal, a return transmittal will be sent back to the client verifying documents received.
Participate in a thorough and complete internal kickoff/turnover meeting with the field supervision and the Estimating group and record meeting minutes. Review drawings, takeoffs, scope of work, schedule, and the contract. Everyone has to have the same understanding of the project.
Generate and transmit Submittal Packages for EoR review.
Develop a contact list of essential personnel, including phone numbers and email addresses.
Ensuring all necessary and applicable certifications are provided for use on the project.
Assist in the Development and initiate all testing procedures and forms.
Maintain a correspondence log, email, phone calls, etc.
Monitoring and tracking the project
Ensure that all documentation is being recorded in Document Controls, have drawing audits performed in the field to make sure they have the current revisions, transmittals are to be used and signed for all documentation transfer.
Daily data entry regarding materials quantity received. Following up with Field Personnel and Purchasing when discrepancies are discovered.
At Project Closure
Collect project archive data (submittal log, submittals, equipment manuals, training documentation, as-built drawings, etc).
Create a client turnover package as required by contract documents.
Participate in a "Lessons Learned" session with appropriate personnel and record minutes of that meeting.
