The Administrative Assistant contributes to the efficient day- to-day operations of the ABFM office and supports the work of the ABFM Vice President of Diplomate Engagement. This person will be responsible for confidential and time sensitive material. The Administrative Assistant must be able to organize, prioritize, work well under pressure and deal effectively with all levels within and outside of the organization.
Primary Duties and Responsibilities
The Administrative Assistant is required to perform a range of duties including, but not limited to the following:
Manage the ABFM Vice President's schedule and meeting invites
Develop and maintain a filing system
Maintain detailed contact lists
Answer questions and meeting requests directed to the ABFM Vice President
Sort incoming phone, mail, faxes and deliveries directed to ABFM Vice President
Arrange travel accommodations, meeting itineraries and agendas for the Vice President, including expense reporting post meetings
Coordinate with other ABMS Boards or vendors regarding meetings, communications or other administrative support for the ABFM Vice President
Develop meeting minutes, emails, memos and faxes on behalf of the ABFM Vice President
Manage email services for Vice President, including drafting routine communications and other materials
Assist in preparation of PowerPoint presentations for Vice President
Conduct targeted surveys

Qualifications and Experience
Minimum of five years of administrative experience required
Self-motivated; can work independently and has the ability to multi-task
