Position Overview:
The Admin Assistant position will be held by an individual who is very detail-oriented, efficient, organized, and able to complete tasks to 100% every time. This position requires the ability to focus in a busy environment and complete tasks comprehensively, including catching potential issues before they arise and tracking reports, numbers, and follow-up items. You will be responsible for clinic operations, greeting clients, creating permanent schedules, rerouting employees due to cancelations, notifying staff and clients of day-to-day changes, updating client/staff availabilities, and various operational duties.
Responsibilities:
Responsible for assisting with the day-to-day scheduling adjustments, in real time.
Multi-management skills and ability to work quickly to reroute multiple staff at the same time to different sessions in the field.
Coordinating and assisting major and minor scheduling changes as directed.
Contact clients and staff regarding availability changes.
Notify clients and staff of updated permanent schedules.
Monitoring client and technician cancellations in accordance with our cancellation policies.
Greet clients and provide a welcoming and supportive environment
Assist with tasks in the clinic, including working with children and maintaining a safe space
Support behavior technicians, supervisors, and program directors with therapy-related tasks and activities
Handle general administrative functions like printing, laminating, and supporting the clinic staff with various needs
Be energetic, enthusiastic, and passionate about working with children
Additional responsibilities as needed to support clinic operations
Qualifications:
Experience in a behavioral services agency is strongly preferred
1+ years of experience in ABA Scheduling
Minimum high school diploma or equivalent
Previous administrative experience in a clinic or office setting.
Strong people skills and the ability to communicate effectively with clients and team members
Energetic, enthusiastic, and fun personality, with a passion for working with children
Highly organized, detail-oriented, and able to manage multiple tasks efficiently
Ability to work well in a busy, fast-paced environment
Spanish speaking ability strongly preferred
Requirements
High school diploma or GED.
Ability to sit for long periods of time
Ability to submit immunization records (MMR, Chickenpox, TB test)
Ability to submit FBI & DOJ fingerprints
Ability to work from 10 am to 6:30 pm PST; however, during heavy work times, staff may be asked to work after hours.
