Job Description:

A financial services firm in Roseville is seeking a detail-oriented and professional Office Manager to oversee daily office operations, provide client support, and assist with financial and administrative tasks. This is an onsite, full-time position with long-term growth potential.

Location: Roseville, CA

Schedule: Monday - Friday, 8:00 AM - 5:00 PM

Compensation: $25 - $30 per hour (DOE)

Key Responsibilities:

Client Service & Office Management
  • Serve as the first point of contact for clients - answer phones, greet visitors, and ensure a professional office environment.
  • Handle day-to-day client service requests, including processing transactions, updating client information, and managing account changes.
  • Prepare for client meetings, including gathering investment statements, tax returns, and account paperwork.
  • Maintain and update client records in CRM (Redtail), documenting meetings and phone calls.

Financial & Business Processing Support
  • Process investment transactions and maintain financial records using Morningstar Office and Albridge.
  • Assist with quarterly advisory billing and account reconciliation.
  • Utilize MoneyGuide Pro for financial planning data input.
  • Process business transactions through IFG Gateway, ensuring client data is accurate and up to date.

Administrative & Marketing Support
  • Manage office calendar, scheduling appointments and tracking tasks.
  • Create and distribute quarterly newsletters using MS Publisher.
  • Maintain and update the company website as needed.
  • Support marketing efforts and special projects to help grow the business.

Ideal Qualifications & Skills:
  • 2+ years of experience in investments, taxes, estate planning, or financial planning.
  • Proficiency in MS Office, particularly Excel, Word, PowerPoint, and Publisher.
  • Experience with CRM systems (Redtail), Morningstar, and business processing platforms.
  • Strong attention to detail, organization, and written communication skills.
  • Professional demeanor with a positive phone presence.
  • Ability to work independently and manage multiple responsibilities.
  • Securities license is a plus but not required.
