Lawyers on Demand (LOD) is seeking an Administrative Assistant to support one of our global clients in delivering the highest level of service to internal and external clients alike.
Our client, a Bay Area law firm, with a focus on environmental litigation, has an immediate opening for an Administrative Assistant to join their team. Qualified applicants will have a college degree with relevant internship experience, be available to work onsite five (5) days/week, and start ASAP (ideally by April 1st). This is also a great opportunity for someone with restaurant/hospitality experience to transition into an office environment and start a professional career.
Essential Duties And Responsibilities
Proactively manage maintenance, custodial needs, security, furnishings, related purchasing, and facility work as needed. Act as liaison to vendors as necessary. Coordinate with the Director of Special Projects, as needed.
Handle office-related purchasing including ordering of supplies, snacks, and other general office needs. Seeks ways to make the process efficient and cost effective.
Handle incoming calls to the mainline and transfer as needed. Check the general voicemail box daily.
Always keep kitchen and supply rooms well stocked and clean.
Maintain conference room and kitchen calendars monthly.
Coordinate maintenance of the copy machines with the vendor for repair and general maintenance issues.
Maintain shredding services and contact vendors for special pick-ups.
Handle daily mailing services, including opening and routing mail as appropriate and arranging FedEx packages.
Accurately copy documents and disseminate them.
Track corporate card receipts and reconcile them regularly.
Develop and maintain an emergency safety plan/procedure for the California office, including the use of the defibrillator and CPR training, ensuring plans are clearly and regularly updated and communicated.
Manage on-site physical records and off-site storage. Conduct periodic reviews of files to determine that the office complies with the firm's Records Retention policy.
Handle hospitality requests for conference room set-ups and meal ordering.
Provide administrative support for legal professionals including document production, editing, and proofing.
Proofreads all work to ensure accuracy.
Perform other duties/projects as assigned.
Attendance And Hours
This position requires working in the office 5 days per week, 7.5 hours per day. Occasionally, may be required to work overtime,
Minimum Education And Experience Required
College degree or equivalency.
Minimum one year of office or administrative experience.
Excellent communication, organizational, and proofreading skills.
General knowledge of office equipment.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint). Must be proficient in firm software applications to produce error-free documents.
Ability to balance work assignments, meet deadlines, read and write proficiently, and learn legal terminology necessary to proofread and edit documents.
Ability to learn litigation procedures and filings.
Lawyers On Demand (LOD) offers flexible talent placement rates that range from $15 to $100 per hour depending upon experience level and specific skills requested by the client, candidate's general skill set, applicability of candidate skill set to client need, client budget, number of hours requested, and other factors. A specific rate of pay for a project will be discussed with you if it is determined that you are a potential fit for a role.
