What You Will Do


Lead and Assist employees engaged in administrative activities including project closing and invoice coding.


Provide an advanced level of administrative support related to accurate and complete documentation of construction work and invoice coding.


1. Train, direct, and lead employees performing administrative activities

2. Develop team members to use multiple technology platforms including: Maximo, BI, Sharepoint, Markview, Dynamics and other applicable systems to complete daily tasks.

3. Coordinate activities and assist employees, internal and external customers, and others related to construction work.

4. Help with software system changes, testing and development of process changes.

5. Research and verify information including:



  • Job orders and completion reports

  • Designed versus constructed projects

  • Leakage and repair logs

  • Service cards

  • Contracts

  • Forecast and measurement

  • Compliance records and pipeline data

  • Major materials

  • Invoices

  • Property Corrections, Debit Memos, Completed Projects


6. Use Maximo, Oracle, Business Intelligence, Markview and Excel to enter data and prepare reports including:



  • New services/service kills/taps/rebuilds

  • Master records/inventory

  • Debit memos and property corrections

  • Job-to-job transfers

  • Job order/completion status


7. Advise and assist contractors, builders, customers, employees and others including on the following:



  • Job orders/completion status

  • Meter installations

  • City/county work permits

  • Line locations

  • Invoice preparation and reconciliation


8. Facilitate department improvement and collaboration. Communicate with Field Operations, Engineering, and Accounting on quality of documentation and status of pending work.


9. Post pipeline system changes on job orders and completion reports.

10. Regular and reliable attendance is required in performance of job.


11. Employee may perform additional responsibilities as assigned.

What You Will Need


Preferred Associate's Degree business administration, other related field, or an equivalent combination of formal education and the following job related experience


1. Experience providing administrative support.


2. Experience in use and function of office equipment applicable to position including: computers, photocopiers, facsimiles, and applicable software.


3. Experience with policies, procedures, and use of terminology applicable to position.


4. Experience reading and interpreting different types of manuals, forms, publications, maps and reports.


5. Experience advising internal and external customers.


6. Experience composing and preparing correspondence and reports.


7. Read and write fluently in English.


8. Experience reconciling capital projects


Minimum CERTIFICATION/LICENSING: Applicable driver's license.


PHYSICAL REQUIREMENTS: Mobility to travel in and around office facilities.

COMMUNICATION REQUIREMENTS: Communicate and exchange information or instructions.


VISUAL REQUIREMENTS: Sufficient to perform job responsibilities.
