Job Description:

Position title: Portfolio Administrator
Reports to: Vlad (Deputy Director, Portfolio Operations)
Expected duration: TTP, usually convert around the 6-month mark
Hours: 7am-7pm (12 hours day)
Pay rate: Up to 33.50/hr, DOE
Salary: Up to 80-90K, DOE
Expected hours: 55 hours per week

Requirements:


  • Degree in finance-related area of study, open to engineering or mathematics as well

  • Very comfortable in Excel (vlookups, pivot tables)

  • Ability to handle high pressure and learn quickly

POSITION DESCRIPTION:


Portfolio Administration (PA). The team analyzes activity, monitors risk and generates reports at the intersection of the Investment Research, Trading, Client Service, Legal, Compliance and Finance teams. PA leads in the operational execution of the Firm's assets, including laying the groundwork for new investment strategies, client launches, and expansions into new markets. The team is responsible for overseeing the accuracy of trade transaction executions by mitigating risk across functions and adhering to compliance standards, industry regulations and client requirements. Reporting to the Director of Portfolio Administration, the Portfolio Administrator ensures that investment accounting information is reconciled and reported across a number of models and instruments. This is an opportunity for someone who enjoys continuous learning, process improvement, and complex problem solving as well as operations and risk management within the investment management industry. The ideal candidate has a strong work ethic, possesses solid critical thinking skills, and enjoys being part of a close-knit team.


RESPONSIBILITIES:

  • Executing middle office processes which include reconciliations, settlements across international markets, collateral & cash management, account opening and terminations, proxy voting as well as ad hoc firm projects and initiatives * Performing validation processes by monitoring and documenting deviations, while maintaining data integrity and re-engineering processes on an ongoing basis

  • Organizing portfolio and financial instrument data and making it available to Portfolio Managers, Trading, Client Service, Compliance, and Finance teams

  • Managing client and compliance systems and operations, including developing client invoices, calculating fees, account settlements, and compiling internal and external reporting

  • Liaising with third-party service providers and internal technology teams to ensure proper support across all system dependencies

  • Collaborating with team members by documenting workflows, transferring product knowledge, and assisting on all team functions as needed

  • Monitoring, capturing, and refreshing essential market data, including during off-hours and holidays

  • Continuous improvement of existing processes via added efficiency and automation within our team & working with our technology team

  • Improving existing controls and adding new controls in areas where we see risks

QUALIFICATIONS:

  • Bachelor's degree

  • High level of accuracy and attention to detail

  • Intermediate Excel skills

  • Excellent communication and interpersonal skills

  • Highest degree of integrity, professionalism and confidentiality

  • Ability to work in the office Monday-Friday, 7am-7pm, with frequent weekends and holidays, flexibility to occasionally WFH
