Responsibilities:
Perform new acquisition building set-up and transition processes to include the following:
Generate and send New Owner Intro letters
Generate and send ClickPay letters
Work with the outgoing Manager/Owner to transfer utilities
Generate and send Remedy Management Notice letters to tenants and vendors and request W9s from vendors
Generate and send new vendor service agreements
Create and maintain the Tenant Contact Sheets to include contacts for billing, settlement and on-site
Create and maintain Vendor Contract Summaries
Generate capital expense and tenant improvement project tracking spreadsheets
Oversee the collection and enforcement of Certificate of Insurance related to tenants, vendors and contractors, in order to comply with buildings' insurance requirements
Transfer warranties
Create and verify Building Emergency Plans
Create and maintain Building Access Spreadsheet with current passcodes, vendor passwords (security, alarm monitoring, Yardi) and warranties
Interact with tenants regarding basic management questions, tenant quarterly financials, accounts receivable (rent bumps, delinquent rent, bill backs, change of address and return to sender notification) and tenant move-in/move-out forms
Interact with vendors on invoice payment status, incorrect invoices and lien waivers
Write and mail notice letters for delinquent rent, OPEX increases in December and OPEX settlements in March/April
Manage ThyssenKrupp Elevator invoices and schedule updates
Qualifications:
The ideal candidate must possess the following qualifications:
Bachelor's degree or equivalent experience/education required
2+ years of previous administrative experience
Prior real estate experience with exposure on the healthcare side preferred
Excellent oral and written communication skills
Proficiency in Microsoft based software
Solid organizational skills with the ability to work efficiently and independently
Prior employment history demonstrating the ability to work in a fast-paced, high-intensity environment while managing multiple tasks and priorities, and produce accurate results in a highly organized manner
$24 -26 hourly range, based on experience plus benefits and bonus.
