We are seeking an experienced and proactive Executive Assistant to support the CEO and Head of Operations of a rapidly growing stealth technology/software startup in San Francisco, CA. This role requires a highly organized and personable professional with a proven track record of supporting C-suite executives, preferably a CEO or co-founder. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional communication skills, and build strong relationships with internal teams and external partners.
Responsibilities:
Manage complex calendars for the CEO, including scheduling meetings, appointments, and coordinating travel plans.
Prepare and organize meeting agendas, materials, and presentations to ensure smooth and productive discussions.
Handle sensitive and confidential information with the utmost professionalism.
Act as the primary point of contact for internal and external communications on behalf of the executives.
Prioritize and manage incoming communications to ensure timely responses and efficient workflow.
Arrange detailed travel itineraries, including flights, accommodations, and ground transportation, while addressing any issues proactively.
Collaborate with other Executive Assistants and Office Managers to provide seamless executive support.
Partner with team members to support company operations and facilitate project execution.
Organize and assist with company events, offsites, and team-building activities to promote a collaborative work environment.
Requirements:
A minimum of 5 years of experience as an Executive Assistant, ideally supporting C-suite executives such as a CEO or co-founder.
Demonstrated ability to manage complex schedules, coordinate travel, and handle high-level communications.
Strong organizational skills with exceptional attention to detail and the ability to multitask effectively.
Excellent interpersonal and communication skills, with a natural ability to build rapport across all levels.
Comfortable working in a fast-paced, dynamic environment and managing competing priorities.
Proficiency with tools like Google Workspace, Slack, and expense reporting software.
A proactive, adaptable, and resourceful mindset with a positive attitude.
Proven ability to handle confidential information with discretion and integrity.
Collaborative team player with the capability to work independently when required.
Experience in project management and planning corporate events or gatherings is a plus.
Schedule:
Full-time, Monday through Friday, standard business hours.
Compensation:
$130,000 - $155,000 base salary, with flexibility for the right candidate. Full benefits package, equity, and additional perks are included.
