TITLE: Executive AssistantREPORTS TO: President & CEOSTATUS: Regular, Full-time, Exempt
POSITION DESCRIPTION SUMMARY: The Central New York Community Foundation has been entrusted with permanent charitable endowment funds, the earnings from which are used to provide grants to nonprofit organizations. This position is the first point of contact for the president & CEO to include the board of directors, committee members, and any persons external to the organization wishing to engage with the president & CEO. This position provides executive support in a one-on-one working relationship with a high level of confidentiality. This position also provides executive support to the president, board of directors, and leadership team, as well as certain other committees established by the board and/or staffed by the president & CEO.
The Executive Assistant must be pro-active, creative and thrive working in a collaborative environment that is mission-driven, results-driven and community oriented. They will have a demonstrated ability to be flexible and adaptive while exercising strong judgement and exceptional attention to detail, all while multitasking to meet deadlines. The Executive Assistant will have an understanding and commitment to the Community Foundation's mission and vision along with experience collaborating effectively with persons from various cultural, social and ethnic backgrounds.
MAJOR RESPONSIBILITIES:
Executive Support to the President & CEO:
Provide high level support to the president & CEO, such as managing an active calendar and handling correspondence that may be confidential
Keep the president & CEO informed of upcoming commitments and responsibilities, delegate or reprioritize conflicting demands and time pressures
Inform the president & CEO of any organizational or community concerns and issues that may need to be addressed
Support leadership team in interactions with CEO
Make all arrangements for meetings, conferences, trips, and speaking engagements, including assembling detailed itineraries or agendas and preparing packets of materials or background information for the president & CEO to review in advance
Manage process for the president & CEO's monthly expenses
Board Support:
Function as the president & CEO's administrative liaison to the board of directors and executive committee
Create a comprehensive, year-long Community Foundation calendar of standing committee meetings and major events
Schedule annual Board orientation in consultation with board and governance chairs and leadership team
Annually collect conflict of interest, confidentiality, and board compact forms from the board
Provide governance committee with board diversity, attendance, and prospect charts
Draft annual nominating slate for board and secure nominee bios and photos
Provide assistance to board and committee members as requested
Leadership Team Support:
Manage external nonprofit event invitations, track sponsorship details and payments, and collect RSVPs for donors, Board members, and staff invited to attend
Attend all board and committee meetings to take comprehensive meeting minutes, produce to Leadership team to sign, and file accordingly
Provide assistance to Leadership team as requested
General:
Work as a member of inter-departmental teams, as appropriate, to ensure the effective and efficient operations of the Foundation; perform other duties as assigned.
PREFERRED QUALIFICATIONS:
Deep interest in and commitment to philanthropy and the work of the Community Foundation, with a demonstrated commitment to the Central New York area, its people and their concerns
Commitment to be guided in all work by the vision of diversity, equity and inclusion that has been established by our staff and board.
Minimum of 5 years of related work experience required including calendar management
Computer proficiency including knowledge of Microsoft Office, and a willingness to learn all appropriate Community Foundation software
Excellent analytical, organizational and communication skills
Superior attention to detail
Ability to organize and prioritize work and manage multiple priorities simultaneously
Superior customer service skills to external and internal constituents. Excellent listening skills, follow through and problem-solving abilities
Excellent interpersonal, verbal and written communication skills
TIME REQUIREMENT
This is a full time exempt position requiring 37.5 hours per week plus occasional early, late or weekend hours are required. Work hours are 8:30 a.m. to 4:30 p.m. with some flexibility. Tuesdays through Thursdays are designated in-office days. Staff that choose to work a hybrid work schedule may choose to do so on Mondays and/or Fridays, dependent on management approval.
BENEFITS
Salary range is $60,000 - $70,000.
