A law firm is seeking a highly organized and professional Receptionist/Legal Assistant to join their Santa Barbara team. This role involves a blend of administrative, client service, and legal support responsibilities. The ideal candidate will have strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Answer and direct calls from the office's main number using the ShoreTel reception console.
Greet and assist clients and visitors in a professional manner.
Coordinate conference room bookings and maintain knowledge of room capabilities.
Manage office supplies, ensuring all items are stocked and available.
Oversee incoming and outgoing mail and packages (FedEx, UPS, USPS).
Schedule appointments, meetings, and travel for attorneys and staff.
Assist with office events and maintain a clean and professional office appearance.
Draft, proofread, and edit legal documents, agreements, and correspondence.
Ensure consistency in formatting, grammar, and cross-referencing.
Prepare materials for court filings and closings.
Manage monthly client billing, including resolving billing issues with accounting and attorneys.
Input attorney timesheets into Webview and prepare final invoices.
Track special billing arrangements, deferrals, and discounts.
Assist with wire transfers and other client payment processing.
Qualifications:
Bachelor's degree preferred; at least 1 years of law firm experience as a legal assistant, legal secretary, or administrative assistant.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Exceptional organizational skills with the ability to multitask and prioritize effectively.
Strong communication skills, both written and verbal.
High level of professionalism and discretion in handling confidential information.
Ability to problem-solve and adapt to changing priorities.
Compensation:
$55k - $65k annually depending on relevant experience.
