Role Description

This is a full-time on-site role for an Office Management & HR Support position located in IL. The individual in this role will be responsible for a variety of administrative tasks, including managing office equipment, handling purchase orders (PO), processing invoicing, and providing exceptional customer service. The responsibilities include:

Administrative & Customer Support:
  • Frequently communicate with customers via phone and email.
  • Listen to customer needs and provide possible solutions.
  • Handle customer service tasks (delivery updates, distributor information, etc.).
  • Maintain up-to-date customer records in QuickBooks.
  • Work closely with warehouse and other departments for seamless operations.
  • Manage invoicing, PO's, and accounts receivable tasks, including follow-ups on outstanding payments.
  • Order office and warehouse supplies while maintaining an organized office environment.

Office Management:
  • Oversee general office operations and ensure a well-maintained workplace.
  • Coordinate office equipment maintenance and vendor relationships.
  • Assist in organizing company events, meetings, and internal communications.
  • Manage incoming and outgoing mail and correspondence.

HR Support:
  • Assist in employee onboarding, including preparing documentation and facilitating training schedules.
  • Maintain and update employee records and HR documentation.
  • Support recruitment efforts, including posting job listings and scheduling interviews.
  • Help coordinate benefits enrollment and employee inquiries.
  • Assist with HR compliance, including policy updates and safety protocols.

Requirements:
  • Minimum 3 years of relevant experience in administrative, office management, or HR-related roles.
  • Bachelor's degree (preferred).
  • Must work on-site.
  • Strong organizational and multitasking skills.
  • Proficiency in MS Office; familiarity with QuickBooks is a plus.
  • Excellent verbal and written communication skills.
  • Ability to adapt to a fast-paced work environment.
  • Team player with a collaborative mindset.
  • Legally authorized to work in the U.S. without sponsorship.
