Another Source’s Client, California State Polytechnic University, Pomona, is recruiting an Accounts Payable & Receivable (AP/AR Manager) to join the Associated Students, Inc. (ASI) team.

Associated Students, Inc. (ASI) is a nonprofit auxiliary organization authorized by the CSU Board of Trustees to perform student life functions for the campus. ASI employs 60 full-time staff and 500 part-time student employees, manages a $18M annual budget, and stewards over 294,000 square feet of student space, including the student union and recreation center. 

 

Hybrid schedule with 3 days in office (Wednesday required) and 2 days remote. 

 

The anticipated yearly salary range for this position is up to the mid-point of the salary range $69,239 – $84,819, depending on qualifications and experience. The full salary range for the role is $69,239 - 100,397.   

 

About the role:   

Reporting to the Associate Director of Financial Services, the AP/AR Manager is responsible for managing the Accounts Payable and Accounts Receivable units of ASI’s Financial Services department. This role oversees the accuracy and compliance of all disbursement and receivables functions while leading process improvement, training, and policy implementation across departments. 

This is a leadership role with direct oversight of 10 staff members, including full-time supervisors and part-time assistants, ensuring the integrity of financial transactions and strong service delivery. 

 

Key Responsibilities

Disbursements and Payables Oversight 

  • Manage AP operations, including check and ACH disbursements, positive pay file processing, and vendor payments 
  • Ensure compliance with policies and regulations at the CSU, university, and state levels 
  • Develop and lead trainings on disbursement policies and procedures 
  • Monitor and reconcile AP ledgers, manual checks, and fixed assets 
  • Submit unclaimed property reports to the California State Controller 
  • Receivables and Cash Handling Oversight 
  • Manage AR processes, including invoicing, aging reports, cash handling, and reconciliation 
  • Oversee vault and bank transactions, conduct cash audits 
  • Develop and implement cash handling policies, forms, and trainings 
  • Ensure accuracy of AR subledgers and general ledger reconciliation 

 

Leadership and Team Supervision 

  • Supervise (1) FT AP Supervisor, (1) FT AR Supervisor, (5) PT AP Assistants, (2) PT AR Assistants 
  • Recruit, train, develop, and evaluate team members 
  • Set priorities, delegate responsibilities, and foster a collaborative team culture 
  • Lead preparation for audits, tax filings (e.g., 1099s), and regulatory reporting 

 

Organizational Engagement 

  • Serve as a leader within ASI, participating in campus committees and team learning initiatives 
  • Actively support ASI’s commitment to continuous learning, innovation, and equity 

 

Required Qualifications: 

  • Bachelor’s degree in Accounting, Finance, or a related field
  • Minimum of 5 years of progressive experience in accounting, record-keeping, reconciliations, and financial reporting 
  • Minimum of 3 years of supervisory experience 
  • Knowledge of GAAP, internal controls, and compliance regulations
